Event Operations Associate - Insurtech Insights

Emerald is seeking a motivated and detail-oriented Event Operations Associate to support the planning and execution of Insurtech Insights events across London, New York, and Hong Kong.

In this role, you will collaborate closely with internal teams and external partners to manage budgets, logistics, vendor relationships, and onsite operations, with a focus on efficiency and delivering exceptional attendee experiences.


About the Role

The Event Operations Associate plays a pivotal role in coordinating end-to-end event execution:

  • Oversees all pre-planning and onsite operational aspects
  • Maintains strong relationships with partners, sponsors, and exhibitors while acting as a key point of contact
  • Ensures all stakeholders remain informed as plans evolve
  • Collaborates seamlessly with internal teams and external vendors to guarantee seamless execution

Location: Shepherd’s Bush, London, UK (on-site, Monday–Friday).


Responsibilities

Event Planning, Coordination, and Evaluation

  • Plan and execute assigned events, activations, and customer support
  • Develop show production timelines to ensure timely coordination
  • Host pre-show, post-show, and weekly show team meetings
  • Conduct post-event assessments to inform future planning

Budgeting & Financial Management

  • Develop and maintain event budgets, including cost-saving strategies
  • Manage budget revisions, accruals, and contractual deposits
  • Process vendor invoices and reconcile credit card expenses on time

Vendor Management & Contracting

  • Create RFPs, review vendor proposals, and recommend selections
  • Manage Statements of Work (SOWs) and schedules for key partners (e.g., first aid, security, cleaning)
  • Review facility and hotel contracts as needed

Floorplan, Logistics & Production

  • Manage exhibit hall, registration, and special event floorplans
  • Coordinate expo logistics, show design, and signage with contractors
  • Develop and oversee exhibitor service manuals (rules, regulations, logistics)
  • Collocate with Sales and Marketing to develop sponsorships and manage logistics
  • Plan and manage lounges and specialty areas on the show floor

Conference Programs & Special Events

  • Contract venues/spaces and manage logistics for special events
  • Assist with conference programming, including AV coordination and signage

Onsite Execution & Show Operations

  • Lead onsite operations (move-in, staging, move-out), ensuring timelines, safety, and service standards
  • Solve challenges with vendors, venue teams, and Emerald colleagues in real time
  • Maintain exhibitor, sponsor, and attendee experience standards
  • Ensure compliance with facility regulations, union rules, and emergency procedures
  • Document issues and opportunities for future improvement
  • Foster a positive, collaborative atmosphere with all stakeholders

Qualifications

  • 3+ years of experience in event operations
  • Strong understanding of event planning principles, procedures, and requirements
  • High emotional intelligence and ability to stay calm under pressure
  • Exceptionally organized with proficiency in multitasking multiple overlapping events
  • Proven experience leading teams and managing external partners
  • Demonstrated ability to create and manage event budgets
  • Technical skills: Microsoft Office (Word, PowerPoint, Excel, Outlook); SmartSheet and A2Z preferred
  • Ability to travel to London, New York, and Hong Kong, including extended on-site periods

Compensation & Benefits

Target Compensation: £50,000–£60,000 (subject to final negotiation based on qualifications and local laws)
