Event Planner - Cardiff FC, Cardiff | Full-Time / Permanent

We're looking for...
We’re looking for an organised, customer-focused Event Planner to join the team at Cardiff City FC, helping bring a wide range of events to life at the stadium. The role sits at the heart of the booking journey, acting as the link between sales, customers and operations to make sure every event is planned and delivered seamlessly. You’ll manage confirmed bookings, show-rounds, short-lead events and internal Club bookings, while also looking for opportunities to upsell and maximise revenue. We’re looking for someone who is naturally organised, great with customers, commercially aware and enjoys juggling lots of moving parts in a fast-paced events environment.

Event Planner - The Role
The primary objective of the role is to provide an effective liaison between the entire sales process to the end customer. This will be through effective administration and customer service techniques.
This role is required to support and coordinate all bookings when they have been confirmed by the reactive sales team.
The role is required to diary manage bookings due to arrive within 14 days, very short lead bookings.
The role is required to handle all internal bookings from the Club and owner client.
The role is required to handle fan-based enquiries.
Additional responsibilities for Christmas party nights and private Christmas events, including handling the enquiry and coordinating.
The role will have the responsibility of all venue show-rounds managing the diary to coordinate and communicate across the venue.

Following the show-rounds the role is required to proactively upsell and exceed customer expectations.
A further critical purpose is to ensure all billing is correct in the system and that events are duly paid prior to arrival.
A key activity of the role is to consistently ensure the highest standards of accurate and timely customer, staff and management information is shared.
To ensure all sales administration is accomplished effectively and accurately in order to provide a seamless handover to the operations team.
To maximise revenue for the venue through providing outstanding customer service through the development of client, venue and internal relationships.
To ensure the relevant invoicing and payment process at venue is adhered to accurately.
Own the BEO process, making sure all event information is accurate, complete and shared with the right teams.
Work closely with Sales and Operations to ensure a smooth journey from booking through to event delivery.
Maximise sales opportunities and follow up leads to help achieve venue revenue targets.
Manage customer enquiries and correspondence, responding quickly and professionally.
Keep systems and event information accurate and up to date.
Act as a key point of contact for clients, sponsors and customers, building strong relationships and delivering excellent service.
Host customer show-rounds, helping to showcase the venue and identify opportunities to secure and upsell business.
Gather customer feedback and share insights with the wider team to continually improve the guest experience.
Ensure all events are delivered safely and in line with venue and company standards.
Build strong knowledge of the venue’s facilities, products and services so you can confidently advise customers.
Support the wider team when needed and contribute to a positive, collaborative working environment.
Take part in relevant training, meetings and continuous improvement initiatives.
Where required, manage client online booking tools and work closely with Operations to manage client accounts and bookings.
