About the role
We're looking for an organised, proactive and customer-focused Events & Hospitality Supervisor to join the team at Nexus. Working closely with the Events & Hospitality Manager, you'll play a key role in delivering an exceptional experience for members, visitors and event clients. You'll oversee the day-to-day operation of our meeting rooms, collaboration spaces and event facilities, ensuring they are presented to the highest standard and that every booking is delivered seamlessly.
This is a hands-on role that combines hospitality operations, team supervision, client liaison and event coordination. You'll help maintain Nexus's reputation for outstanding service while identifying opportunities to enhance the customer experience and support income generation.
Responsibilities
- Manage the Front of House area in the absence of the Welcome Host, ensuring visitors and members are welcomed and supported, Reception and Atrium areas are clean and inviting, and all screens, including the digital totem, are operational and up to date.
- Manage and oversee meeting and event bookings and associated hospitality services, ensuring the highest standards of service are delivered on a day-to-day basis.
- Lead the hospitality team in developing and maintaining a proactive and consistent approach to the presentation of meeting rooms, the business lounge, collaboration areas and event spaces, ensuring all facilities are fully operational, well-presented and appropriately stocked.
- Supervise the Hospitality Host and Hospitality & Events Coordinator in the set-up and clear-down of meeting rooms and event spaces, ensuring customer requirements are met and sufficient time is allocated for preparation and turnaround.
- Supervise, coach, mentor and support the Hospitality Host through regular one-to-ones and team meetings, while coordinating holiday cover as required.
- Establish and maintain strong working relationships with the Events Team, Great Food at Leeds, cleaning teams and other suppliers to ensure the seamless delivery of hospitality services across meeting rooms, event spaces and member offices.
- Work closely with Nexus Management, Accounts, and the Events & Hospitality Team to identify opportunities to increase revenue and contribute towards agreed annual income targets.
- Manage shared inboxes within the Events & Hospitality Team, triaging and responding to enquiries relating to meeting rooms and event spaces. Act as the lead point of contact for bookings, preparing quotations and contracts to meet customer requirements.
- Work closely with colleagues and utilise available systems to coordinate catering and beverage orders from Great Food at Leeds, ensuring timely delivery to meeting and event spaces. This may include setting up and clearing catering as required.
- Deputise for the Events & Hospitality Manager when required, attending meetings with the Nexus Events Team, University of Leeds catering services, and external suppliers to provide updates on upcoming meetings and events.
- Develop and implement weekly and monthly resource plans to support the successful delivery of meetings and events, identifying and agreeing any additional resource requirements with management.
- Work with the Hospitality Assistant (& other team members) to empty, rinse and polish water bottles, run glasses, crockery and utensils through the dishwasher and ensure they are spotless, and keep the Services Room clean and hygienic.
- Provide basic AV support and assist customers with troubleshooting technical issues as required.
- Support the development and implementation of post-event and post-meeting customer surveys to measure service performance and team KPIs.
- Work with the Accounts team to ensure that all charges are present and correct and that invoices from the Catering Services Department are accurate.
- Maintain internal documentation, ensuring it remains accurate, relevant and up to date, including the periodic review of website links and referenced information.
- Use in-house booking software to manage meeting room activity, produce relevant reports and process purchase orders.
- Work with the hospitality team to ensure appropriate cover is in place for events and meetings taking place outside normal working hours.
- Any other duties deemed commensurate with the role by Management
- Proactively identify and undertake appropriate training and personal development opportunities.
