Events & Production Coordinator

Old Queen Street Media is home to The Spectator, UnHerd and Apollo — and to a set of historic Westminster venues that host hundreds of events each year. We’re looking for an Events & Production Coordinator to plan, organise and deliver events across these spaces.

This means taking ownership of events from the first enquiry through to the final invoice: working with clients to shape the occasion, coordinating with our food & beverage, editorial and production teams, and making sure every element is planned, prepared and delivered to a high standard.

The role also involves the practical production and set-up of events, both on site at Old Queen Street and at external venues. You’ll be involved in everything from room layouts and furniture to AV, suppliers, deliveries, guest requirements and the smooth running of the event itself.

No day is the same. One week you could be organising a ministerial press conference, the next a Christmas party, a wedding, or an intimate dinner for six. You’ll need to manage lots of moving parts, balance competing priorities and be comfortable getting stuck in to make things happen.

The role is primarily based around normal office hours, but events occasionally take place outside these hours. We ask for flexibility around event schedules and, where additional hours are required, time off in lieu will be provided to ensure a healthy balance.

Main Responsibilities:

  • Plan and deliver events — manage events from initial enquiry and planning through to set-up, on-the-day delivery and follow-up.
  • Coordinate production — organise the practical requirements of events, including room layouts, furniture, AV, suppliers, deliveries, timings and guest requirements.
  • Set up events on site and off site — take a hands-on role in preparing spaces and ensuring everything is ready before guests arrive, whether at Old Queen Street or an external venue.
  • Coordinate across teams — work closely with food & beverage, production, editorial and commercial colleagues to align on menus, AV, timings and client requirements.
  • Manage clients and suppliers — liaise with everyone from private clients to journalists, ministers, suppliers and external production teams, representing Old Queen Street to a high professional standard.
  • Keep events on track — manage budgets, bookings, invoices and event administration, making sure nothing falls between the cracks.
  • Be hands-on on event days — troubleshoot issues, manage suppliers and contractors, and ensure events run smoothly from set-up through to close.

Requirements:

  • Strong background in event planning, coordination or production, with proven organisational skills.
  • Strong administration skills, with excellent attention to detail and the ability to keep track of multiple bookings, deadlines, budgets and event requirements.
  • Comfortable balancing multiple projects, clients and deadlines at once.
  • Practical, adaptable and resourceful — able to solve problems quickly and calmly.
  • Happy being hands-on and getting involved in the physical set-up and delivery of events.
  • A confident communicator who builds good relationships with clients, guests, colleagues and suppliers.
  • A background in hospitality is a bonus, particularly experience in a restaurant, private members’ club, hotel or events environment.
  • Comfortable working occasional evenings or weekends when events require it, with time off in lieu provided.
  • Motivated by variety and responsibility, and happiest when making things happen.
