Description

Christmas is one of our busiest times of the year at Poolhouse, and this role is all about helping our Sales & Events team stay brilliantly organised in the lead up and throughout the festive season.

As our Temporary Events Assistant, you’ll support the team with the important details that need to happen ahead of each event – making sure pre-orders, payments, contracts and event information are all complete, accurate and ready on time.

You’ll be working across multiple bookings at once, keeping on top of guest correspondence and last-minute changes, and making sure the wider team has the information they need to deliver a great event.

This role is: • Monday to Thursday • Office-based at Poolhouse office, Mooregate • Temporary role covering the Christmas period

What Success Looks Like

• Pre-orders, payments and signed contracts are received ahead of event deadlines. • Function Sheets are completed accurately and on time. • Guest correspondence and booking information is always up to date. • Final event details and last-minute changes are captured and communicated quickly. • The Sales & Events team feels organised and supported throughout the busy Christmas period. • Nothing gets missed, even when there are multiple events and deadlines happening at once. • Guests feel looked after and confident that the details of their event are in safe hands.

This is a temporary role covering the busy Christmas period, but it’s a great opportunity to gain hands-on experience within a fast-paced Sales & Events team and build further experience in hospitality and events.

Key Responsibilities

• Gently nudge guests for pre-orders, payments and signed contracts ahead of their events. • Complete BEOs (Banquet Event Orders) accurately and on time. • Keep guest correspondence and internal booking information fully up to date. • Manage final details and last-minute updates from clients ahead of their event date. • Make sure important changes and information are communicated clearly to the Sales & Events team. • Keep on top of multiple bookings, deadlines and outstanding actions at the same time. • Support the wider Sales & Events team with general administration as needed throughout the Christmas period.

Skills, Knowledge and Expertise

• Previous experience in events, hospitality or a similar admin-heavy role. • Excellent organisational skills and strong attention to detail. • Confident and clear communicator, both with guests and internal teams. • Comfortable managing multiple bookings, deadlines and priorities at once. • Proactive and happy to chase outstanding information to keep things moving. • Calm and organised when dealing with last-minute changes. • A positive, can-do attitude and willingness to support the wider team. • Comfortable working in a busy, social and fast-paced hospitality environment.
