Role Overview
InsTech runs a busy events programme spanning from webinars, private dinners, roundtables, networking evenings, evening events to multi-day conferences. This role takes full ownership of the smaller events; webinars, dinners and networking events.
Each of these events has a defined process running from the moment a sponsor signs through to the final invoice. This role owns all of it: the venue, the platform build, the registration, the sponsor and speaker management, the delivery on the day and the reporting afterwards. Several events will typically be live at once and at different stages, so the role requires someone who can multitask and manage multiple small events at the same time. This role would suit someone who currently has a supportive role in event management and is looking to take the next step to manage their own portfolio.
Role Responsibilities
Vendor and Supplier Management
- Research and negotiate with venues, caterers and AV providers.
- Gather quotes, secure bookings and produce function sheets.
- Manage supplier relationships across the events portfolio.

Registration and Platform Management
- Set events up on Swoogo, BrightTALK and the website.
- Build HubSpot workflows and lists to support registration.
- Manage the tickets inbox and report on registration numbers weekly.
Sponsor Management
- Manage sponsor relationships across all webinars, dinners and networking events.
- Set expectations early with clients and check in regularly through each event's lifecycle.
- Co-ordinate with Marketing on visual assets and website copy.
- Co-ordinate with the Sales teams when the events get handed over
Speaker Coordination
- Support programme development for each event.
- Run prep calls with speakers, bringing in technical support for the webinars where needed.
- Brief speakers on format and timings.
- Produce run-of-show schedules for networking events
Event Delivery
- Deliver on-site set-up, registration, takedown and troubleshooting at in-person events in London
- Provide live support during webinars.
Project and Budget Management
- Maintain project timelines on Monday.com across all live events.
- Keep the events budget and event codes up to date.
Post-event Close-out
- Manage post-event communications and feedback collection.
- Report on event performance to inform future events.
About You
- At least one year's experience working in corporate events within a small team/company environment
- Highly organised, with an eye for detail and a multitasker who takes pride in their work.
- A self-starter, who can hit the ground running
- Confident in dealing with senior people, with clear, friendly verbal and written communication skills.
- Comfortable with technology, with an appetite for learning new platforms quickly.
- Flexible and willing to pitch in with team tasks and tasks outside of this role as required- we are a small team.
- Availability and flexibility regarding working outside of core office hours; our in-person events (London venues) run into the evening, and we occasionally have breakfast events.
