Events Co-ordinator

Liberty Wines is looking for an Events Co-ordinator to work within our small but dynamic events team. You would be responsible for organising a wide range of events from large trade tastings with 800 wines and 1,000 customers, through to small, intimate winemaker dinners for 10 - 40 trade customers and press.

Key responsibilities

  • Work with the Events team to plan from start to finish all Liberty Wines’ portfolio tastings, comprising two annual portfolio tastings in London and roadshow portfolio tastings in February and September across the UK and Ireland.
  • Oversee project management and delivery of Liberty Wines’ category tastings throughout the year (Burgundy, Australia, Piemonte / Tuscany).
  • Manage travel and accommodation requirements for producers and colleagues attending tastings, where required.
  • Work closely with the Portfolio team, and liaise directly with producers, to co-ordinate winemaker events with Liberty Wines customers and press.
  • Co-ordinate Liberty Wines’ presence at externally organised trade and consumer events.
  • Undertake management of specific events, which includes, but is not limited to, the production of invitations, RSVPs, communication and liaison with producers, tasting list preparation, product ordering.
  • Source and negotiate with venues, vendors, and suppliers.
  • Manage the budget assigned for each event, document departmental expenses, and file invoices according to company best practice.
  • Collect post-event reviews and feedback from key stakeholders, such as Sales and Portfolio teams.
  • Take ownership of tasks by working pro-actively and prioritising effectively to meet deadlines.
  • Act as an ambassador for the company when communicating with external stakeholders, such as customers, suppliers, and producers.

About you

  • A minimum of one year’s event management experience.
  • Experience working in the wine / hospitality industry.
  • Excellent project management and organisational skills.
  • Able to work well under pressure and maintain a high level of attention to detail.
  • Strong communication skills (with both internal and external contacts).
  • Confident using Excel.
  • If you have any wine knowledge, that would be an added bonus!
