Events Coordinator
Searcys are looking for a an Events Coordinator to join the team at their stunning newly refurbished 10-11 Carlton House.
About the Role
As an Events Coordinator you would be working closely with the Operations Team to coordinate meetings and event enquiries, and assisting with the general administration needs of the Catering Department.
Location: 10-11 Carlton House, just a stones throw from the decadent Pall Mall and St James. Grand in scale, intricate in detail, {10-11} Carlton House Terrace is a venue steeped in history and an exceptional canvas for any event – from wedding receptions and corporate conferences to banquets and summer parties.
Key Responsibilities
- Coordinate all events business from the onsite client external sales team and FOH team into the catering team.
- Input and report on sales forecasts, whilst maximising up-selling opportunities in order to achieve monthly and annual budgets.
- Manage event planning and administration through Momentus, including event sheets, consumption reporting, financial tracking (BOB), and ensuring deadlines and SOPs are met.
- Coordinate closely with sales, operations, and venue leadership to provide regular updates, forecasts, reporting, and support deposit collection where required.
- Plan and deliver a wide range of events, including weddings, conferences, meetings, receptions, and dinners, ensuring seamless execution from enquiry to completion.
- Act as the primary client contact, handling correspondence, site visits, tastings, upselling opportunities, event-day requirements, and post-planning coordination.
- Prepare and distribute all event documentation, including quotations, menu cards, table plans, dietary information, BEO amendments, and operational briefings.
- Support business development by creating new packages and offerings, promoting the venue, attending networking events, and maintaining strong venue and operational knowledge.
- Ensure compliance with health, safety, legal, licensing, and company policies while maintaining professional standards and participating in training and development activities.

Qualifications
- Meticulous administration and prioritisation skills
- Excellent communication skills (internally and externally)
- Proactive and excellent time management
- English Language - fluent or bilingual proficiency
