Job Title: Events Co-ordinator

Contract type: Permanent

Location: London & Hybrid (2 days a week in our London office)

Team: Events

Reporting to: Gundog Events Manager

Salary: Competitive

About the Role

Our Events Team is looking for an enthusiastic, organised, and proactive Events Coordinator.

The successful candidate will be responsible for assisting within and across the Events Department, with focus on, and ownership of individual projects including Scruffts, Principle Page adverts for the Crufts catalogues and the Working Trial Championships. Attendance of Kennel Club events including but not exclusively Crufts, Scruffts and field trials as required.

Essential

  • Previous employment in an events venue or an events organising company.
  • Knowledge of event processes and regulations.
  • Knowledge of event operational procedures and regulations.
  • A clear understanding of health and safety policies and procedures.

Desirable

  • An event management qualification.
  • IOSH – managing events safely certificate.
  • Knowledge of CRM systems.

  • Assisting the Senior Event Trade Stand Coordinator during busy times, chasing payments and collating trade stand information such as wristband requirements and health & safety documentation. Answering trade stand holders general queries.
  • Assistance with logistics and arrangements for all major commercial events across the organisation.
  • Organisation of Scruffts competition heats including sourcing and liaising with host shows and event logistics and the management of the final at Crufts.
  • Assisting the host society with the organisation of the Working Trial Championships.
  • Collating the images and adverts for the principal pages within the Crufts catalogues.
  • Invite judges for Field Trials and Field Trial Championships as nominated by the FT Committee, issuing judging contracts and arranging accommodation as necessary.
  • Assisting with production schedules and organisation and mailing of entry ballots, production of running orders, award certificates.

Client Liaison

  • Assisting with the preparation of trade / judge contracts using appropriate programmes.
  • Liaising with stand holders and customers on queries in connection with exhibiting at the show via phone and email.
  • Assisting with the acquisition of health & safety information from stand holders such as risk assessments, method statements, pass requests etc.
  • Assisting with the management of the Crufts inbox.

Budgetary Responsibility

  • Liaising closely with senior managers on budget management.
  • Ensuring that budgets as directed in the agreed forecast are met.
  • Monitoring of budgets and ability to produce accurate data to show current status.

Compliance

  • Liaising with Senior Events Stand Coordinator to ensure all necessary documentation is received from stand holders and show organisers.
  • Ensuring that any compliance requirements are in place ahead of events.
