About the role
We are looking for a proactive, detail-orientated and customer-focused Events Coordinator to join our team. This role offers an exciting opportunity to deliver a wide range of commercial conferences, events and functions across the University of Manchester's diverse portfolio of venues.
Working as part of our Conferences, Venues and Hospitality (CVH) team, you will play a key role in ensuring exceptional client experiences while contributing to the continued success and growth of our conference and events operations.
You will coordinate designated conferences, events and business functions from initial enquiry through to delivery, working closely with clients, colleagues, suppliers and University teams to ensure that facilities, services and hospitality are delivered to agreed requirements and consistently high standards.
The University hosts a diverse range of events, from academic conferences and corporate meetings through to gala dinners, weddings and major University events. This is therefore a varied and fast-paced role, providing an excellent opportunity to work across some of the University's most distinctive venues and develop your experience within a busy commercial events environment.
About the team
Conferences, Venues and Hospitality delivers a diverse portfolio of conferences, meetings, events, hospitality services and commercial venue hire across The University of Manchester.
We are a customer-focused and supportive team, managing events and hospitality services from initial enquiry through to delivery. We work collaboratively with colleagues across the Directorate and wider University, as well as external clients, suppliers and professional partners, to deliver exceptional experiences and maximise the University's commercial opportunities.
As an Events Coordinator, you will work closely with the Campus Events Manager and wider CVH team, taking responsibility for your allocated events and helping to ensure our venues and services are used effectively and delivered to a consistently high standard.
Key responsibilities
Your responsibilities will include:
- Coordinating designated conferences, events and business functions from initial enquiry through to the conclusion of the event.
- Acting as a key point of contact for clients and organisers, providing professional and responsive communication throughout the event lifecycle.
- Maintaining accurate event information and records using Kinetics software and producing quotations, contracts and invoices at the appropriate stages.
- Coordinating the preparation and delivery of facilities, hospitality and other services for designated events, working closely with clients and Hospitality and Events colleagues to ensure requirements are understood and delivered.
- Maintaining regular communication with clients while events are taking place, ensuring all agreed services and facilities are provided to the required quality and service standards.
- Working flexibly across a range of event schedules, including early morning starts, evening finishes and events taking place during weekends where required.
- Identifying opportunities to upsell University conference facilities and services, contributing to the commercial success of the team.
- Providing professional, supportive and motivational supervision to operational events staff where required, helping to ensure consistently high standards of technical service, hospitality and customer care.
- Working effectively with the Sales and Business Development team to support the appropriate utilisation of University venues and maximise commercial opportunities.
- Assisting with the requisition of goods and management of stock, ensuring appropriate control systems and standards are maintained.
- Ensuring that financial procedures associated with the role are completed accurately and in accordance with University guidelines.
- Supporting the effective implementation of Health & Safety requirements across CVH operations, ensuring legal requirements, best practice and Directorate policies and procedures are followed.
- Undertaking the role of Building Fire Marshal when required, following appropriate training and confirmation of competency.
- Participating in conference and events staff forums and contributing positively to team discussions and operational improvements.
- Building effective and constructive working relationships with colleagues across Estates and Facilities and the wider University.
- Working flexibly across operational boundaries where reasonably required, supporting colleagues and contributing to the wider objectives of the University.

About you
We are looking for someone with experience of working within a conference, events, hospitality or similarly customer-focused operational environment.
You will ideally have professional qualifications in hospitality, events or a relevant business-related subject, although equivalent professional skills and knowledge gained through relevant industry experience will also be considered.
You will have experience of providing conference or hospitality services within a diverse environment of a similar scope and scale, together with a sound understanding of the operational requirements associated with delivering successful events.
You will need:
- Experience of working in a conference, events, hospitality or comparable operational environment.
- A good understanding of Health & Safety requirements relevant to conference and events operations, including current legislative requirements.
- Strong written and verbal communication skills.
- Excellent customer service and client liaison skills.
- Strong organisational and administrative skills, with excellent attention to detail.
- An understanding of financial administration, cost control and stock management.
- IT literacy and confidence using relevant software systems and processes.
- The ability to build effective working relationships and work collaboratively with colleagues, clients and external partners.
- The ability to take personal accountability and use initiative when dealing with operational requirements and challenges.
- The ability to prioritise your own workload and manage competing requirements and deadlines effectively.
- The ability to contribute positively to team meetings, reviews and wider team activities.
Desirable experience
It would be advantageous if you also have:
- Knowledge and awareness of key issues affecting the higher education sector and its operational environment.
- Previous supervisory experience within a similarly sized and diverse environment.
- A trainer-training qualification or demonstrable understanding of training principles gained through experience.
- Awareness of environmental sustainability and how this can be incorporated into workplace and operational activities.
