The Role

We are looking for an exceptionally organised, proactive and detail-oriented Events Coordinator to support the planning and execution of Pixi's brand activations across the EMEA region.

Working closely with the Senior Events & PR Manager, you will take ownership of the operational planning and delivery of influencer events, brand experiences, VIP activations and gifting programmes. While the Senior Events & PR Manager defines the strategy, creative direction and objectives for each activation, you will be responsible for coordinating all logistics and ensuring every event is executed seamlessly.

This role is ideal for someone who thrives on organisation, enjoys bringing projects to life behind the scenes, and can confidently manage multiple priorities in a fast-paced environment. You will play a key role in delivering exceptional brand experiences, ensuring every detail reflects the Pixi brand and contributes to the successful execution of events across the EMEA region.

Key Responsibilities

Event Planning & Coordination

  • Coordinate the end-to-end planning and execution of influencer events, brand experiences and VIP activations.
  • Develop detailed project plans, timelines and event checklists to ensure seamless delivery.
  • Support the Senior Events & PR Manager in bringing each activation to life.
  • Ensure all events are delivered on time, within budget and in line with Pixi brand standards.

Venue & Supplier Management

  • Research and source venues, suppliers and event partners.
  • Obtain quotes, negotiate pricing and coordinate bookings.
  • Manage supplier communications, contracts and invoices.
  • Build and maintain strong relationships with trusted vendors.

Event Logistics

  • Coordinate all operational aspects of events, including catering, furniture, florals, entertainment, staffing, transport and branded materials.
  • Ensure all event assets and products are delivered on time and are event-ready.
  • Maintain detailed event schedules and production timelines.
  • Anticipate and resolve logistical challenges before and during events.

On-Site Event Execution

  • Lead the operational delivery of events on-site.
  • Coordinate supplier arrivals, event setup and breakdown.
  • Act as the main operational point of contact throughout each event.
  • Ensure every activation runs smoothly and delivers an exceptional guest experience.

Guest Management

  • Build and maintain guest lists for influencers, VIPs and brand partners.
  • Manage invitations, RSVPs and guest communications.
  • Coordinate seating plans where required.

Influencer & VIP Gifting

  • Manage all influencer and VIP gifting logistics.
  • Maintain accurate gifting trackers and records.
  • Organise and manage the office gifting stock cupboards.
  • Monitor stock levels and ensure gifting products are available for upcoming campaigns and events.
  • Coordinate all gifting shipments, including VIP boxes, campaign mailers and ad hoc send-outs.
  • Maintain stock of gifting materials including packaging, tissue paper, note cards and branded collateral.

Stock & Asset Management

  • Manage event inventory, branded assets and event supplies.
  • Keep storage areas organised and event-ready.
  • Support stock forecasting for future activations.

Reporting & Administration

  • Produce post-event reports, including attendance, content highlights, key learnings and recommendations.
  • Maintain event calendars, timelines and project documentation.
  • Conduct regular competitor research to identify trends, new event concepts and opportunities for innovation.

Team Support

  • Assist with presentations, planning documents and activation proposals.
  • Identify opportunities to improve internal processes and event operations.
  • Support the wider marketing team with event-related initiatives when required.

Requirements

  • 2+ years' experience in events, brand activations, influencer marketing or a similar role.
  • Exceptional organisational and project management skills.
  • Strong attention to detail with the ability to manage multiple projects simultaneously.
  • Excellent communication and relationship-building skills.
  • Confident coordinating suppliers, timelines and event logistics.
  • Comfortable working in a fast-paced environment with changing priorities.
  • Calm under pressure with a proactive, solutions-focused mindset.
  • Highly organised, self-motivated and eager to take ownership.
  • Passion for beauty, events and creating memorable brand experiences.
