About the Role
This role provides high-level administrative and technical support for IOM3's busy Events programme. You'll be the first line of contact for delegate communications and the lead operator of the IOM3 webinar programme, joining a busy events team where you'll play a vital role in ensuring data accuracy across our event systems — and support the team through a major digital transformation project.
Duties will include, but are not limited to:
- Registration & enquiry management
- Act as the primary point of contact for delegate, speaker and sponsor enquiries across our events portfolio.
- Manage the registration database, ensuring all attendee records are accurate and up to date.
- Monitor the shared inbox, resolving the majority of queries and escalating complex logistical issues to the Senior Event Project Managers or Head of Events when necessary.

Webinar production
- Take full ownership of the end-to-end administration and development of the webinar programme.
- Manage the webinar platform, including scheduling sessions, conducting speaker technical rehearsals, and live event hosting.
- Coordinate post-event recordings, delegate attendance data, and feedback surveys.

Technical & app support
- Perform high-volume data entry and cleaning (formatting spreadsheets) for our mobile event apps.
- Upload speaker bios, headshots, and session descriptions into the app backend.
- Assist the Head of Events as required with User Acceptance Testing (UAT) and onboarding of the new Digital Transformation (DX) project.

Onsite & logistics support
- Provide online and occasionally on-site support during events as required.
- Assist with event logistics, including coordinating badge printing data and signage lists.
- Support the team with administrative tasks for our event programme.
Person Specification
The ideal candidate will be organised, methodical, and comfortable working across multiple digital systems in a fast-paced events environment.
Essential
- Administration and IT skills, including setting up and hosting webinars
- Organisation and time management skills
- Excellent written and verbal communication skills, internally and externally
- Able to take ownership of projects and deliver on time using initiative
- Able to work adaptably as part of a team
- Methodical, with an excellent eye for detail and desire to work accurately
- Ability to work on multiple projects simultaneously to tight deadlines
- Digital confidence working with CRM, event apps etc.
