Our Events Team
FreeAgent’s Events team forms a core pillar of our wider Communications department, collaborating closely with content, design, PR, social media, video, email, and campaign specialists. We design and deliver high-impact event experiences across our key external growth segments - Accountancy Practices and Small Businesses - as well as driving internal engagement and team alignment. The Role
The Events Executive is a dynamic and hands-on role responsible for supporting the end-to-end planning, logistics, and execution of FreeAgent’s event portfolio. Operating across both Practice and Small Business marketing streams, this position supports key commercial growth objectives by engaging prospective partners and enticing new small business customers to join FreeAgent.
Additionally, this role serves as a vital operational support to the Chief Marketing Officer (CMO), managing internal Communications team logistics, offsites, learning initiatives, and delivering key internal culture initiatives like our monthly 'Tea(m) time' afternoon tea.
Day to day your role will involve/you'll be helping customers by
External events
- Work closely with practice/small business campaign teams to establish clear, measurable objectives for each event, ensuring alignment with wider commercial goals.
- Research, assess, and benchmark costs for venues, AV requirements, and external suppliers, monitoring budgets and ensuring high ROI across event activations.
- Oversee the lifecycle of event products, literature, and merchandise, maintaining optimal stock levels both in-house and via external handling houses to ensure brand representation is current and high quality.
- Coordinate logistics, bookings, stand designs, and collateral delivery for both physical trade shows/conferences and digital events across the practice and small business sectors.
- Ensure all event equipment and marketing collaterals are dispatched, tracked, and returned to storage post-event systematically.
Internal events
- Plan and execute internal team gatherings, including managing logistics and agendas for Communications team offsites, team-building sessions, and regional meetings.
- Plan the organisation and delivery of monthly internal cultural activities, including our team afternoon tea, 'Tea(m) time', fostering strong team connections and morale.
- Administer and manage the rolling learning plan and pre/post-event requirements for the Communications team’s dedicated monthly learning days.
Administrative support
- Support the CMO with ad-hoc meeting arrangements, scheduling, and administrative event logistics as required.
- Monitor post-event feedback from internal stakeholders, external attendees, and partners to evaluate event impact and identify clear optimisation opportunities.
- Keep up to date with emerging event trends, digital event technologies, and experiential marketing concepts to continuously elevate FreeAgent's presence.

You 🙌
Success in this role relies on building strong working relationships with internal Campaign managers across Comms, Sales, and the Executive Leadership team (specifically the CMO).
This role supports internal alignment by:
- Maintaining open, clear communication regarding event timelines, logistics, costs, and internal attendee briefing requirements.
- Collaborating with external vendors, venues, and handling houses to maintain seamless operational execution.
- Working across the wider Communications team to align event touchpoints with PR, social, and brand campaigns.
Ideally you'll have:
- Demonstrable experience in planning and coordinating physical and virtual/webinar events, ideally within a B2B SaaS or corporate environment.
- Proven track record of working collaboratively across cross-functional teams and managing external vendor/supplier relationships.
- Excellent organisational and time-management skills with the ability to manage multiple event projects simultaneously under tight deadlines.
- Strong commercial awareness with experience in event budgeting, cost negotiation, and ROI tracking.
- High proficiency in digital event platforms, webinar toolsets, and event management software.
- Experience providing high-level administrative or logistics support to senior stakeholders/executives.
- Exceptional communication skills (written, verbal, and presentation) with high attention to detail.
- Professional qualification in Event Marketing/Management, or equivalent practical experience.

Work pattern for this role
This is a permanent full-time role (Monday to Friday, 9am to 5pm)
This role will be based in our Edinburgh office, however there will be an opportunity to adopt hybrid working, under an agreed pattern of 2 days from the office and 3 days at home each week. Working from home is second nature to us as we have been championing remote working for years.

Annual starting salary of £27,500 - £31,000 per annum depending on experience, with room to progress to £33,500 within the band.
