Job Summary

An energetic, detail-oriented, and hospitality-minded Events & Hospitality Assistant to support the seamless day-to-day execution of events and guest experiences across ColourWorks and Lock. Working closely with and reporting to the Events & Hospitality Lead, you will act as a key operational anchor on the floor - assisting with event setups, client enquiries, administrative duties, and real-time event delivery.

You will be an approachable, proactive team player with a passion for high service standards, meticulous organisation, and warm client delivery. This role is ideal for an ambitious junior professional eager to learn the end-to-end management of a premium creative venue, build hands-on hospitality experience, and uphold our high-spec presentation standards every day.

Key Responsibilities

Sales, Strategy & Enquiries

  • Logs incoming event enquiries accurately and assists with scheduling venue viewings for prospective clients.
  • Supports the outreach process by preparing presentation materials and sending follow-up details to prospective clients post-viewing.

  • Assists in the day-to-day execution of events, helping with physical setup, signage, client arrivals, and coordinating on-the-day logistics.
  • Monitors event delivery in real-time and escalates any operational issues, client complaints, or logistical bottlenecks to senior team members immediately.
  • Prepares and distributes daily event agendas, runs errands for supplies, and ensures that shared event spaces have the necessary equipment ready to go.

Financial Management

  • Handles basic admin tasks such as filing invoices, preparing drafts of booking forms, and recording receipts for event-related expenses.
  • Learns to spot minor up-selling opportunities during live events (e.g., extra drinks, extended hours) and flags them to the Lead.

Leadership & People

  • Works collaboratively proactively supporting event staff and external freelancers especially during busy operational windows.
  • Serves as a friendly and helpful point of contact for clients and guests during events, answering general questions and representing the brand professionally.

Client Relations (CRM)

  • Hand-delivers/emails feedback forms or surveys to clients post-event and helps compile these responses for the team to review.
  • Maintains and updates client profiles and booking statuses in the CRM database with high accuracy.

Brand & Marketing

  • Takes high-quality photos/videos during event setups and live events (with client permission) to pass to the marketing team for social media.
  • Acts as an enthusiastic brand ambassador on the floor, ensuring their own appearance and demeanor reflect the premium standards of the venue.

Risk & Compliance

  • Follows all health & safety, fire safety, and food hygiene guidelines diligently during shifts; immediately reports any hazards or compliance risks.
  • Executes checklists to ensure the venue is meticulously clean, tidy, and matches the "4 senses standard" before, during, and after an event.

Strategic Growth

  • Attends debriefs and team meetings to learn about local industry trends, client preferences, and competitor offerings.
  • Shares fresh ideas with the team on how to improve guest experiences, streamline setup tasks, or refresh physical collateral.

Essential Skills and Requirements

  • Demonstrable experience or a strong background in hospitality, venue operations, customer service, or event production, with a genuine passion for creating exceptional guest experiences.
  • Meticulous attention to detail with the ability to multitask, manage administrative workflows such as invoicing support and CRM updates, and keep shared event spaces presentation-ready.
  • Excellent verbal and written communication skills, with a warm, professional, and confident demeanour when interacting with clients, guests, and external freelancers.
  • Ability to stay composed and active on the floor during busy live events, spotting operational needs early and knowing when to escalate issues effectively to the Lead.
  • Highly collaborative mindset with a willingness to get hands-on, from physical setup and running logistical errands to supporting event staff and external vendors.
  • Comfortable using basic admin, CRM, and communication tools, alongside an eye for capturing clean photos and videos for venue marketing.
  • Familiarity with or quick ability to learn standard health and safety, fire safety, and food hygiene guidelines within a venue environment.
