The Venue

York Racecourse ranges from the operation of fast-paced, high-volume kiosks, bars, and food outlets in the public areas to elegant and intimate fine dining experiences within the many hospitality boxes and restaurants. We have provided catering services at the racecourse for over 40 years and have a dedicated team of 20 full-time York Racecourse Hospitality colleagues, including chefs, event managers, and sales executives. In addition, up to 900 catering colleagues are deployed across the course on a race day.

About the Role

The Events & Hospitality Sales Executive will be responsible for generating new business opportunities, converting enquiries into confirmed bookings, and managing the seamless transition from sales through to handover to the Operations Team. Acting as a key link between clients, sales, and operational teams, the role will ensure that every event is commercially maximized to the highest standard.

Please note, a key requirement of this role is the ability to work on race days, which can include weekends and occasional evenings.

Key Responsibilities:

  • Manage the full sales process from initial enquiry through to confirmation and operational handover, preparing tailored proposals, quotations, and contracts.
  • Maximise sales opportunities across the racing and events calendar, negotiating commercially while maintaining profitability and customer satisfaction.
  • Coordinate confirmed bookings, ensuring all client requirements, event details, timings, layouts, catering, AV, and special requests are accurately captured and communicated.
  • Prepare event documentation and operational briefs, working closely with Operations, Catering, Hospitality, AV, and other stakeholders to ensure seamless event delivery.
  • Act as a key point of contact for clients throughout the sales and planning process, building strong relationships and resolving queries efficiently.
  • Support contracts, deposits, invoicing, and payment tracking, ensuring accurate financial and event information is maintained.
  • Maintain accurate CRM and event records, producing sales reports, forecasts, and pipeline updates to support commercial decision-making and revenue targets.

We are looking for someone with:

  • Experience in sales, events, hospitality, venue, hotel, or customer service environments, with a strong focus on commercial results and customer satisfaction.
  • Excellent communication, presentation, and relationship-building skills, with confidence engaging with clients and colleagues at all levels.
  • Highly organised with strong attention to detail and the ability to manage multiple priorities, deadlines, and administrative tasks effectively.
  • Commercially driven, proactive, and solutions-focused, with a passion for hospitality and delivering exceptional customer experiences.
  • Confident using Microsoft Office, CRM, and booking systems, with strong coordination and organisational skills.
  • Experience within conferences, events, hospitality venues, racecourses, stadia, or hotels, with knowledge of selling hospitality or event packages desirable.
  • Resilient, adaptable, and positive, with the ability to work independently and as part of a team in a fast-paced environment.
  • Existing local business or agency contacts and experience of event planning and operational delivery would be advantageous.
