What Will You Be Doing?
Help our events team members coordinate our 7th-anniversary celebration on 1st September 2026, delivering an exciting pop-up fashion show and live music performances at a community celebration event at a stunning historic venue.
This pivotal role is designed for an experienced events professional based in London who can attend on the day and wants to use their skills to tackle social isolation and build community cohesion. You will take the reins of a high-profile, fast-paced event hosted at a stunning, historic London venue, transforming it into a vibrant space of connection and celebration.
Key Responsibilities
Event Planning and Venue Coordination
- Manage logistical delivery for all aspects of the 7th-anniversary celebration.
- Coordinate production schedules with the historic London venue's on-site team.
- Oversee spatial layout planning to accommodate the pop-up runway and music stages.
- Ensure full compliance with venue health, safety, and licensing regulations.
- Conduct risk assessments specifically tailored to historic building constraints.

Creative Showcase Management
- Help coordinate/plan the pop-up community fashion show from backstage sequencing to final bows.
- Manage performance schedules for the community music acts.
- Supervise technical requirements including sound, lighting, and AV setups.
- Coordinate performer arrivals, technical soundchecks with the sound AV person.
- Maintain creative momentum ensuring the event narrative reflects community cohesion.
Volunteer and Team Collaboration
- Work with a dedicated team of on-site event volunteers.
- Assign clear shift roles for ushering, registration, backstage support, and hospitality.
- Foster an inclusive environment that welcomes diverse attendees and reduces social isolation.
- Serve as a point of contact for event team members on the day.
- Help motivate the team to maintain high energy and a welcoming community atmosphere.
Stakeholder and Participant Liaison
- Communicate setup details clearly to community designers, models, and musicians.
- Manage guest arrivals including local partners, community members, and stakeholders.
- Act as the main bridge between the core team and external suppliers.
- Handle real-time enquiries from participants and attendees calmly and professionally.
- Gather feedback from participants to help measure the event's social impact.

Operations and Contingency Planning
- Troubleshoot operational issues swiftly to ensure seamless transitions between segments.
- Oversee guest flow to prevent crowding in historic, restricted venue spaces.
- Manage event timings strictly to respect venue curfews and performance slots.
- Coordinate post-event pack-down ensuring the historic venue is left pristine.
- Report final outcomes and logistical debriefs to the organisation's leadership.
