Role overview

Merkle Science is looking for an exceptionally organized, responsive, and proactive full-time Events & Marketing Assistant or Intern to support the marketing team with our international events program.

Merkle Science organizes events throughout the year, including Merkle Meet conferences, executive dinners, roundtables, webinars, and events held alongside major industry conferences. This role combines event coordination, research, data management, administrative support, and external communications.

Roles and responsibilities

Event planning and logistics

  • Support with the day-to-day planning and execution of Merkle Science events.
  • Help coordinate venues, caterers, suppliers, production partners, and other event vendors.
  • Research catering options, request and compare proposals, and assist with basic event budgeting.
  • Maintain detailed event timelines, task lists, deadlines, and logistical documentation.
  • Help manage invitations, registrations, guest lists, dietary requirements, and attendee information.
  • Proactively track and follow up on outstanding decisions, deliverables, and deadlines.
  • Assist with webinars, roundtables, executive dinners, Merkle Meet events, and conference-related activations.
  • Occasionally travel to provide on-site event support, potentially a few times per year.

Luma and event-page management

  • Create, update, and manage Luma registration pages for Merkle Science events.
  • Keep event information accurate as speakers, schedules, venues, sponsors, and other details evolve.
  • Check pages carefully for incorrect information, formatting inconsistencies, broken links, and outdated content.
  • Coordinate with the marketing and design teams to ensure event pages follow Merkle Science’s branding and messaging.
  • Monitor registrations and keep Luma data synchronized with internal event trackers.

Speaker and moderator research

  • Research strong potential speakers and moderators based on each event’s subject, audience, and objectives.
  • Identify relevant leaders from government, law enforcement, financial institutions, fintech, blockchain, compliance, policy, investigations, and related sectors.
  • Find and verify professional contact details, including work email addresses and LinkedIn profiles.
  • Create clear, well-organized spreadsheets of speaker prospects, including relevant background information and the rationale for inviting them.
  • Track outreach, responses, confirmations, biographies, headshots, session details, and outstanding materials.
  • Help prepare briefing documents and other information required by speakers and moderators.

Sponsor and partner research

  • Research companies and organizations that could be suitable sponsors, promotional partners, or event participants.
  • Build structured sponsor prospect lists containing company information, relevant contacts, areas of interest, and partnership rationale.
  • Help identify useful points of connection with prospective sponsors and partners.
  • Keep sponsor outreach, conversations, commitments, assets, and deliverables accurately documented.
  • Assist with sponsor follow-ups and the collection of logos, descriptions, attendee names, and other materials.

Spreadsheet and information management

  • Maintain the spreadsheets and trackers used for each event.
  • Keep speaker, sponsor, vendor, attendee, budget, outreach, and task information accurate and consistently formatted.
  • Regularly check trackers for missing information, duplicates, errors, outdated entries, and incomplete follow-ups.
  • Create new research spreadsheets and trackers when required.
  • Ensure information is clear, organized, and easy for the wider team to use.
  • Maintain an orderly system for event files, assets, links, contacts, and documentation.

Communications and follow-up

  • Coordinate scheduling and share practical information such as deadlines, locations, agendas, arrival instructions, and asset requirements.
  • Escalate sensitive, strategic, or non-routine questions to the appropriate team member.
  • Prepare confirmation messages, reminders, thank-you emails, and post-event follow-ups.
  • Remain highly responsive across Slack and email during working hours.

Canva and marketing support

  • Use existing Canva templates to create speaker cards, moderator cards, sponsor graphics, and other event assets.
  • Accurately update names, titles, companies, headshots, logos, dates, and event information.
  • Perform careful quality-control checks before any graphic is published.
  • Provide basic Canva support when the in-house designer is unavailable or focused on other priorities.
  • Help coordinate event-related landing pages, emails, promotional materials, and other marketing assets as needed.

On-site and post-event support

  • When attending events, assist with registration, speaker arrivals, vendor coordination, scheduling, signage, and guest questions.
  • Help ensure speakers, sponsors, and priority guests are welcomed and properly supported.
  • Assist with collecting photographs, presentation files, attendance information, and other post-event materials.
  • Update internal records after each event and ensure that all agreed follow-ups are completed.

Essential qualifications

  • Perfect written and spoken English, either as a first language or at a fully bilingual professional level.
  • Exceptional attention to detail and a strong preference for clean, accurate, and highly organized work.
  • Highly responsive, dependable, and proactive.
  • Comfortable managing several evolving projects and priorities simultaneously.
  • Strong online research skills and the judgment to assess whether a person or company is genuinely relevant.
  • Confidence using spreadsheets and maintaining structured, error-free information.
  • Excellent professional writing and communication skills.
  • Comfortable communicating with senior external stakeholders when appropriate.
  • Able to work independently, ask sensible questions, and follow through without repeated reminders.
  • Full-time availability and sufficient working-hour overlap with the Merkle Science team.
  • Must be based in Western Europe for easy communication with marketing team.
  • Willing and able to travel internationally on occasion.

Compensation

This is a full-time assistant or internship-level role with a monthly budget of approximately USD 2,000–3,500, depending on the candidate’s location, experience, and ability to take ownership of the work. MUST BE BASED IN EUROPE.
