Events & Marketing Coordinator

Role Overview

This coordinating assistant role provides hands-on support across the firm’s events programme, ensuring seamless delivery of client and internal activities while upholding brand consistency. You’ll manage logistics, attendee experiences, communications, and post-event follow-ups for diverse events, from client breakfasts to industry conferences.


Key Responsibilities

Event Coordination

  • Plan and execute client and firm events, including:
    • Roundtables, breakfasts, dinners, internal conferences, and external conferences (e.g., UKREiiF).
    • Venue sourcing, supplier coordination (catering, room setup), and practising due diligence (e.g., site visits where needed).
  • Preparation: Craft event materials such as:
    • Agendas
    • Attendee lists
    • Briefing packs
    • Name badges and signage
    • Ensure brand alignment across all deliverables.
  • Execution: On-the-day support including:
    • Registration/attendee management
    • Supplier liaison
    • Troubleshooting issues as they arise.

Event Communications & Invitations

  • Manage pre- and post-event comms, including:
    • Drafting/sending personalised invitations, reminders, and follow-ups via the firm’s email marketing platform.
    • Tracking RSVPs, dietary requirements, and accessibility notes securely.
  • Maintain updated attendee records with attention to GDPR compliance.

Administration & Reporting

  • Data & Records:
    • Log and maintain accurate event documentation (briefs, run sheets, supplier details, budgets/invoices).
    • Upload attendee records to the CRM system as required.
  • Documentation:
    • Organise all event files, ensuring clarity and accessibility for stakeholders.

Marketing & Team Support

  • Daily Marketing Operations:
    • Assist in maintaining calendars, marketing inboxes, and content preparation for internal communications.
    • Update shared resources (e.g., business card portal).
  • Branded Materials:
    • Track stock of branded collateral (giveaways, signage).
    • Oversee re-ordering processes to avoid shortages.

Requirements

Experience & Skills

  • 1–2 years of event support experience, preferably in professional services or a fast-paced setting.
  • Able to multitask with meticulous attention to detail under pressure.
  • Strong written and verbal communication; confident engaging with senior team members and external suppliers.
  • Proficiency in Microsoft Office, with quick adaptability for tools like CRM platforms or email marketing tools.
  • Proactive, solution-oriented attitude; enjoys hands-on problem-solving.
