Your mission
For our London locations we are looking for a full time Events Operations Associate. Hospitality is at the heart of what we do and the ideal candidate will be proactive and thinking ahead to make sure clients’ needs are met without them having to ask. A willingness to go the extra mile and get your hands dirty to deliver an incredible event product is essential for this role. This hands-on role requires you to partner a can-do attitude with brilliant attention to detail and time management skills to consistently meet deadlines and deliver a high-quality experience to everyone who comes to our London event spaces. You'll work closely with the Events Sales Associate, taking a clear, complete brief and turning it into a flawless experience on the day. You'll also step in to support enquiry management during quieter operational periods, ensuring the pipeline never stalls.
An exceptional Events Operations Associate has the ability to manage the expectations and demands of multiple organisers, vendors and team members simultaneously, so strong communication and interpersonal skills (written, verbal and listening) combined with a natural sense of empathy are a must. A customer service background may help with this, and close attention to detail is what separates a good event from a great one. The right attitude and passion for Events is far more important than experience in this entry level position. You should show a willingness to go the extra mile when required and consistently demonstrate a positive attitude. Your profile
Role specifics
As an Events Operations Associate, you will have cross functional responsibilities and be responsible for delivering a 5* member experience to event clients and their guests using our spaces. You will work closely with the Events Manager and other Events Associates to ensure a seamless handover from sale to execution, taking ownership of delivery throughout. You will support the event manager in delivering the events strategy for the business and hitting our overall annual targets.
Deliver a 5 Experience* - Delivering an exceptional experience is a key requirement in this role. You will be the client's main point of contact leading up to and on the day of the event, and possess a hospitality and customer centric mindset, enjoy meeting new people, and want to develop great relationships while having the ability to manage client expectations and prioritise your day effectively. You'll also keep an eye out for opportunities to add value and enhance the overall client's experience, contributing to repeat bookings.
Plan and Coordinate - Once a booking is confirmed, you'll coordinate directly with the client on room layout, AV, catering, and timings, and raise invoices and contracts accordingly. You'll also brief our event suppliers and contractors ahead of the day, keeping accurate records and capturing the right information at every stage, so that nothing is missed and the event lands as a success on the day.

Preparation and Troubleshooting - You will be responsible for the day-to-day operations of the events space, including setting up for events and resetting spaces afterwards. You'll handle ad-hoc requests and queries on the day, troubleshoot AV issues where you can and escalate to our AV provider when needed, resolve any on-the-day issues with suppliers and contractors, and raise any maintenance or facilities issues as they arise.
Cross-team coordination - You’ll work alongside the broader Operations and Commercial teams to keep them informed of space availability, scheduling constraints, and any changes that affect the wider events calendar across our locations. You'll be a reliable point of contact for what's happening on the ground and also balance the event client and member experiences.
Report and Track - Maintain accurate records of every event, logging costs and ensuring revenue reporting is correct in our CRM systems.
Feedback - You will enjoy gathering feedback from clients, guests and your own first-hand experiences and sharing these with the wider team, to help improve and grow the events business.
