Events & Sponsorship Assistant (12-month fixed term contract)

JOB PURPOSE
A key member of the marketing team, the Events & Sponsorship Assistant will play an important supporting role in the firm's events activity.
This is a busy role offering lots of variety and development so the successful candidate should demonstrate the ability to manage and prioritise a demanding workload and proactively deliver exceptional results. The role holder will work closely with the events team as well as other business development and marketing professionals, partners and lawyers to ensure the events activities of the firm are consistent and successfully co-ordinated.
The successful candidate will be confident, organised and capable of developing strong working relationships with colleagues across the firm.
This position can be based in Edinburgh or Glasgow, with travel to our other offices as required. The nature of the role means the candidate will be required to work at events which can take place in the early morning or evening.

CORE TASKS
Seminar, webinar and event assistance
- Work as part of a team to deliver the Brodies Training Programme – leading on event/webinar administration and client registrations and the delivery of webinar broadcasts: briefing speakers, sharing slides and recording webinars.
- Quarterly evaluations and monthly Board performance reporting on webinar, seminar and event activity including CRM invite and follow up mailing engagement, client satisfaction and on-demand viewing, working with team to analyse findings.
- Administration of firm Zoom licences to ensure no overlap on webinar set ups and broadcasts across the programme and oversee account related billing.
- Lead on creation of 'On Demand' webinar content including drafting edit time code briefings for recordings, upload recordings to Brodies' YouTube channel and Brodies website as insight articles.
- Support delivery of firmwide event activity, corporate memberships and firmwide sponsorships through assisting with research and coordination, supplier contracting and liaison and exploring new event or sponsorship concepts.
- Coordination of all branded collateral for events and seminars - presentations, delegate badges, banners, handouts and delegate packs.
- Key responsibility for handling the events and seminars inboxes as the first point of contact for delegate enquiries.
- Assisting with the co-ordination of speaker presentations for all events – ensuring interesting content, creative design and consistent formatting with Brodies style.
- Working at events and seminars, taking part in registration and smooth running of events.
- Populating and updating the events pages on the Brodies website and intranet.
- Working with the Comms and Marketing functions to heighten profile of the events and seminar programme.
CRM assistance
- Data quality management – ensuring client data is accurately recorded in CRM campaigns relating to our event and seminar activity, cleansing data, regular reporting and managing opt out to ensure 'clean' data and marketing lists.
- Draft event invitations, reminder joining instruction and follow up campaigns in our CRM system and create CRM banners and website images for event/webinar related campaigns.
- Processing and reviewing new contacts who have signed up through the preference manager.

Other Responsibilities
- Weekly update to Managing Partner, Chair and Director of Business Development & Marketing relating to up-coming event activity across the firm.
- Evolving the marketing channels behind our Brodies Training Programme and SEO, including working with Digital Projects and Business Development teams to establish audience profiles and A/B testing relating to event/seminar activity.
- Create website pages for events, conferences and webinars, including post event insight articles for webinar on-demand recordings.
- Providing general support to the Marketing and BD team, including competitor research, assisting with ad-hoc tasks, social media and online campaigns and analysis to achieve greater online engagement.
- Be aware of Brodies’ information security policies, and protect information assets from unauthorised access, disclosure, modification, destruction or interference at all times.
