The Role
Support exam operations by managing materials, schedules, records, Canvas assessments, and on-site exam activities while ensuring accuracy, security, and a smooth experience for students and staff.
Key Responsibilities
- Handling of exam materials: Scan, process, and organise exam papers and materials accurately, following exam protocols and ensuring the secure handling of all documents.
- In-person exam support: Provide on-site assistance on exam days, overseeing the set-up, managing exam materials, and addressing any issues that arise to minimise disruptions and ensure that exams are running smoothly.
- Administrative support: Maintain essential records, help with the coordination of exam schedules, and assist the Exam Manager with general administrative tasks to ensure efficient exam operations.
- VLE and quiz administration: Set up and manage quizzes and assessments on Canvas, ensuring settings, deadlines, and access permissions are configured correctly, and troubleshoot issues as they arise.
- Data and records management: Maintain and update spreadsheets for exam schedules, results, and candidate records, ensuring data is accurate, well-organised, and easily accessible for reporting purposes.

Essential
- Administrative experience: Previous experience in an administrative role with strong organisational and coordination skills.
- Technical proficiency: Confident using technology and spreadsheets such as Excel for data entry and basic data management.
- Attention to detail: Strong focus on accuracy, confidentiality, and compliance when handling documents, exam materials, and data.
- Communication skills: Excellent spoken and written English, with the ability to communicate effectively with students, staff, and external partners.
- Organisational skills: Ability to manage multiple tasks, prioritise effectively, meet deadlines, and work efficiently in a busy environment.
- Flexibility: Willingness to work evenings and occasional weekends according to the exam schedule.
- Mobility: Willingness and ability to travel between Regent College London campuses, including Central London, Wembley, Kingsbury, and Southall.
Desirable
- Education/exams experience: Previous administrative experience within an educational institution, examinations, or assessment environment.
- VLE experience: Familiarity with Virtual Learning Environments (VLEs), particularly Canvas.
- Data management experience: Experience maintaining examination schedules, candidate records, results, and reporting spreadsheets.
- Problem-solving skills: Experience troubleshooting technical or administrative issues and resolving them promptly.

Working Hours & Flexibility
- 40 hours per week
- Working pattern: This role will include evening and weekend work depending on exam needs
