Examinations Officer

Claires Court School | Maidenhead, SL6 6AW

Competitive salary

Claires Court School is seeking a calm, supportive, and highly organised Examinations Officer to help plan, administer, and deliver internal and public examinations across its Senior Schools and Sixth Form.

Working alongside the Examinations Manager, another Examinations Officer, and a team of part-time invigilators, you will help ensure that GCSE, A-Level, BTEC, mock, and practical examinations run efficiently, securely, and in accordance with Joint Council for Qualifications (JCQ) regulations.

This is a varied and responsible position requiring excellent organisation, accuracy, and communication skills. You will coordinate examination timetables and entries, oversee invigilation arrangements, and ensure that students with approved access arrangements receive the appropriate support.

Working Hours and Availability

This is a term-time plus position, working 40 hours per week for 40 weeks each year.

Candidates must be fully available throughout all formal examination periods and during mid-to-late August for A-Level and GCSE results days, reviews of marking, and other post-results services.

Key Responsibilities

  • Coordinating examination entries, amendments, and registrations for GCSE, A-Level, and BTEC qualifications.
  • Preparing and distributing examination timetables, statements of entry, and candidate certificates.
  • Liaising with awarding bodies, US universities, teaching colleagues, Heads of Department, and other school teams.
  • Maintaining accurate examination records, electronic data, and filing systems.
  • Handling student and examination data in accordance with GDPR and the school’s privacy policies.
  • Receiving, recording, and securely storing confidential examination papers and materials.
  • Preparing examination rooms, seating plans, candidate identity cards, stationery, and required notices.
  • Organising room allocations and liaising with the Estates Team regarding examination arrangements.
  • Securely packaging and dispatching completed scripts and coursework.
  • Scheduling the invigilation team and ensuring adequate cover for every examination session.
  • Supporting the recruitment, training, and ongoing development of invigilators.
  • Organising approved access arrangements, including readers, scribes, prompts, and the use of laptops.
  • Briefing students and staff on examination procedures and conduct.
  • Organising mock examinations and practical assessments, including MFL, Art, and ICT examinations.
  • Supporting A-Level and GCSE results days.
  • Processing enquiries about results, access-to-scripts requests, and special consideration applications.
  • Providing accurate examination fee information to the Finance Department.

Invigilation Responsibilities

When directly supporting or invigilating examinations, you will:

  • Prepare examination rooms in accordance with seating plans and JCQ requirements.
  • Maintain the security of confidential materials before, during, and after examinations.
  • Verify candidate identities and provide clear examination instructions.
  • Maintain constant vigilance and a calm, silent examination environment.
  • Complete attendance registers and accurately record any incidents.
  • Support candidates using approved access arrangements.
  • Collect, check, organise, and securely transfer completed examination scripts.
  • Assist candidates with securely printing word-processed examination work.
