Executive Administration Assistant
On Site: Street, Somerset
The Role
Assist executive in staff capacity by handling a wide variety of situations and issues involving the administrative functions of the department.
- Responsible for preparing documents including internal memos and external client correspondence.
- Assist in developing PowerPoint presentations and organize, update, and maintain files.
- Responsible for coordinating travel itineraries and reconciling expenses for UK Office.
- Set up meetings, manage calendars and schedules.
- Assist in preparing and processing invoices and expense reports as well as track monthly office cell phone billing. Concur knowledge expert.
- Responsible for general administrative support to the department, including answering phones and other communications, representing executive when needed and working closely with direct reports of the executive to help them when necessary.
- Coordinate communications and meeting efforts with other senior level executives. Work closely with affiliated senior level executives and their assistants.
- Represent the Executive and his/her office at all times.
- Coordinate the needs of the office including but not limited to ordering office supplies, business cards, lunches, coffee supplies. Organise internal events and meetings. Manage all office facilities issues as they arise.
- Partner with Human Resources Team to track vacation and audit records to ensure payroll sheets are up to date and accurate. Act as main point of contact for UK Office for all Charitable Giving initiatives.
- Responsible for all Sample Management in UK including ordering samples as needed, creating and maintaining seasonal line sheets, organize and manage samples den. Partner with Sales Team to set showroom up on a seasonal basis.
- Perform additional ad hoc duties as needed.

About You
- 5-7 years of experience supporting senior levels executives.
- A proven record of success working as EA in a fast moving, quick changing environment.
- Bachelor’s Degree in Business or related field preferred.
- Intermediate to advanced Microsoft Office Suite Skills.
- Ability to think independently / anticipate outcomes.
- Ability to take initiative.
- Ability to prioritize.
- Problem solving skills.
- Ability to remain calm under pressure and remain focused.
