Job Summary
The Executive Administrator provides high-level administrative and operational support to senior leadership, ensuring the smooth coordination of business activities, communications, travel, meetings, and key processes. The role combines executive support with broader business administration responsibilities and requires exceptional organisation, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
- Manage diaries, schedule meetings, and coordinate priorities for senior leaders and leadership teams
- Coordinate domestic and international travel, including itineraries, visas, accommodation, and logistics
- Act as a key point of contact for internal and external stakeholders, handling correspondence professionally and confidentially
- Prepare, proofread, and maintain documents, presentations, reports, and meeting materials
- Organise leadership meetings, team events, offsites, and external engagements
- Process expenses, Purchase Orders (POs), invoices, and approvals in a timely and accurate manner
- Support budget tracking and maintain accurate administrative records and documentation
- Coordinate activities across teams and support the delivery of projects and business initiatives where required
- Identify opportunities to improve administrative processes and implement efficient ways of working
- Work closely with other administrative professionals to ensure effective support across the business

- Excellent written and verbal communication skills, with strong attention to detail
- Ability to tailor communication style to different audiences
- Confident in producing professional documents, presentations, and business correspondence

- Sound judgement and the ability to prioritise effectively
- Methodical approach to maintaining records, documentation, and administrative processes

- High levels of discretion and confidentiality
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
- Comfortable using collaboration tools such as Teams and SharePoint
- Ability to quickly learn and adopt new systems and technologies

Requirements
Essential
- Proven experience in an Executive Administrator, Senior Administrator, Executive Assistant, Personal Assistant, Office Manager, or similar administrative support role
- Experience supporting senior managers, directors, or leadership teams
- Experience coordinating complex diaries, meetings, travel arrangements, and business administration activities
- Experience processing Purchase Orders, invoices, expenses, and approvals
- Strong track record of handling confidential information with integrity
Desirable
- Experience within a corporate, professional services, or regulated environment
- Project coordination or business operations support experience
- Degree-level education or equivalent professional qualification

- Adaptable and resilient in a changing environment
- Trustworthy with a strong commitment to confidentiality
