Job Description: Executive & Team Support Assistant

Role Overview

We are seeking an organised, proactive Executive & Team Support Assistant to provide core administrative support to the Executive Assistant to the CEO and help oversee daily London office operations. This role is ideal for a candidate with foundational PA or team administration experience who is looking to step into a fast-paced sports and entertainment business. Working closely with the EA to the CEO, you will act as a key support pillar across calendar coordination, presentation formatting, VIP guest hospitality, and office management.

Key Responsibilities

Executive & PA Support (Assisting EA to CEO)

  • Calendar & Scheduling: Assist the EA in coordinating internal and external meetings, managing diary conflicts, and tracking key executive milestones.
  • Presentation & Deck Formatting: Help draft, format, and polish PowerPoint presentations and Town Hall decks to ensure alignment with brand templates.
  • Travel & Itineraries: Research travel options, draft itineraries, and process expense claims for leadership team members in line with company policy.
  • Meeting Preparation: Coordinate board pack assembly, print meeting agendas, arrange meeting rooms, and record action points when required.

Office Management & Front of House

  • VIP Hospitality & Reception: Manage visitor reception, register guests via building portals, and deliver a high-standard welcome to visiting C-suite executives and Board members.
  • Workspace Operations: Maintain a clean, presentable, and well-organized office environment throughout the day.
  • Building & Supplier Liaison: Help handle day-to-day facilities requests with building management (GPE), reception, and external vendors under the EA's direction.
  • Inventory Control: Track, order, and restock office stationery, kitchen supplies, and basic IT equipment within allocated budgets.

Team Support & Coordination

  • Onboarding Logistics: Welcome new joiners by managing desk setups, arranging building access passes, and preparing starter kits.
  • Event Coordination: Assist the EA and HR team in planning internal staff socials, celebrations, and client-hosting setups.
  • Ad-Hoc Administration: Execute general team support duties, local collection runs, and administrative projects as required.

Requirements & Qualifications

  • Experience: 1–2+ years of experience in a PA, Team Assistant, or Office Support role (experience in sports, media, or creative sectors is a plus).
  • Software Proficiency: Strong working knowledge of Microsoft 365, particularly Outlook, PowerPoint, and Word.
  • Core PA Skills: Hands-on experience with diary coordination, travel booking, and formatting presentation decks.
  • Professional Attributes: Proactive problem-solver with a strong visual eye, excellent attention to detail, and a high degree of discretion.
  • Communication: Exceptional verbal and written communication skills with a customer-focused attitude.
