JOB PURPOSE

The Executive Assistant will be reporting directly into the Managing Director. They will be responsible for providing comprehensive administrative and organisational support to the Managing Director and wider Senior Leadership Team.

This is a part-time position, offering 25 hours per week with flexibility in how those hours are arranged.

Salary bracket: £29,500.00 - £33,900.00 FTE

RESPONSIBILITIES

  • Diary Management: Coordinate and manage the Managing Director’s schedule, including meetings and appointments.
  • Travel Coordination: Arrange domestic and international travel, including transport, accommodation, and itineraries for the Managing Director and SLT.
  • Liaison: Act as a gatekeeper and liaison between the Managing Director and external contacts.
  • Network: Build and maintain network with key Grupo Bimbo Executive Assistants (incl. EMEA, Global etc).
  • Correspondence: Manage emails and other forms of communication on behalf of the Managing Director.
  • Meeting Preparation: Organise agendas, prepare meeting materials, booking rooms and lunches for Managing Director and SLT.
  • Expenses: Manage timely submission of business expenses and credit card receipts for Managing Director and SLT.
  • Confidential Support: Handle sensitive business and personal information with the utmost confidentiality, discretion and professionalism.

Office Administration Responsibilities:

  • Ensure office supplies, kitchen and cleaner’s items are restocked regularly and purchased when required.
  • Handle purchase orders (via M3) as necessary.
  • Organise and coordinate bi-weekly Townhall meeting agenda, PowerPoint slides and presenters.
  • Act as a main point of contact between the business and Building Maintenance regarding any problems or repairs.
  • Collect and distribute deliveries and mail.

PERSON SPECIFICATION

  • Desirable to have previous experience in a similar role.
  • Exceptional organisational and time-management skills.
  • Strong attention to detail.
  • Excellent verbal and written communication abilities.
  • Ability to multitask and prioritise, as well as flexible “can do” attitude.
  • Discretion and trustworthiness in handling confidential information.
  • Proficiency with Microsoft Office.
