Executive Assistant - Senior Event & Project Support
£180-£200 per day | 6-week contract | 3 days per week | Hybrid
THIS IS A PART TIME ROLE. 1 day per week onsite in London, especially for the first 2 weeks, can be remote there after

We're looking for an experienced Executive Assistant to provide high-level operational and administrative support to a senior project team during the build-up to a major international technology and AI event series.
This is a fast-paced, high-profile assignment where you'll act as the operational backbone for the leadership team, coordinating senior stakeholders, executive speakers, partners and customer representatives across multiple markets and time zones.
The ideal person will be highly organised, proactive and comfortable operating at pace, with the confidence to liaise directly with C-suite executives and senior business leaders.

The Role
You'll provide hands-on support across the event programme, helping to keep senior stakeholders organised and ensuring everything is running smoothly in the critical weeks leading up to the events.
Key responsibilities will include:

  • Providing senior administrative and operational support to a small leadership/project team
  • Managing complex calendars and coordinating meetings, briefings and stakeholder sessions across time zones
  • Maintaining master project trackers, files and collateral using Google Workspace
  • Supporting updates to event landing pages, including agendas and speaker information
  • Acting as a key point of contact for senior executives, customer speakers and partner stakeholders
  • Coordinating speaker logistics including rehearsals, releases, presentations and event-day requirements
  • Maintaining a central speaker database, including biographies, headshots and brand assets
  • Keeping teams on track with deadlines, actions and deliverables
  • Providing proactive support and troubleshooting throughout the event build-up

About You
We're looking for someone with:

  • 5+ years' experience as an Executive Assistant, Senior Project Assistant, Operations Coordinator or similar
  • Experience supporting senior leadership through complex projects, events or programmes
  • Exceptional organisational skills and meticulous attention to detail
  • The confidence and professionalism to communicate directly with C-suite executives
  • Excellent written and verbal communication skills
  • Advanced experience using Google Workspace - Docs, Sheets, Slides, Calendar and Drive
  • A proactive, solutions-focused approach and the ability to prioritise in a fast-moving environment
  • Experience managing multiple stakeholders and deadlines simultaneously

Desirable
Experience within event marketing, corporate communications, technology or B2B marketing would be highly advantageous. Exposure to international events or working across Nordic markets would also be beneficial.

Contract Details

  • Duration: 6 weeks
  • Start date: 22 September
  • End date: 29 October
  • Days: 3 days per week
  • Working pattern: Hybrid, with approximately 1 day per week in a London office - this can be a bit more flexible after week 2
  • Rate: £180-£200 per day
