Executive Assistant

Location: London, Kent House
Role Type: Contract - 12 months
Work Setup: Hybrid - 4 days in the office (flexible when needed - 9am - 5pm)

The Role

Our client is a large multinational firm that provides a range of financial services, including advisory, investment, and asset management solutions. It serves a diverse set of clients worldwide, focusing on strategic planning, market operations, and long-term financial growth.

What you'll do

  • Manage complex calendars, acting as a trusted gatekeeper and proactively resolving diary clashes.
  • Organise internal and external meetings, including venues, video conferencing, calls, agendas and itineraries.
  • Coordinate end-to-end business travel, including flights, accommodation, visas and ground transport in line with company policy.
  • Process monthly expenses, including American Express, personal expenses and invoices through Concur, ensuring accuracy and timely submission.
  • Coordinate meeting rooms, client meetings, refreshments, events, offsites and team activities, including budgets and expense reconciliation.
  • Provide wider administrative support, including handling calls and messages, document preparation, filing, printing, ordering business cards and assisting with recruitment activities.

What you bring

  • Previous EA/PA experience within investment banking, private equity, asset management or another financial services environment, supporting senior stakeholders in a fast-paced setting.
  • Strong diary, meeting and travel management skills, including coordinating complex schedules, venues, itineraries and international travel.
  • Experienced in expense management, including Concur, corporate cards, invoices and ensuring compliance with company policies.
  • Highly organised and proactive, able to manage competing priorities, resolve scheduling conflicts and anticipate stakeholder needs.
  • Excellent communication and interpersonal skills, with confidence dealing with senior stakeholders, clients and external contacts.
  • Strong attention to detail, discretion and professionalism, with the ability to work independently and support events, recruitment and ad hoc business requirements.
