Office Location: Manchester

The overall purpose of the role is to create and maintain a well-organised, structured and professional environment in which senior leaders can be highly effective.

The Executive Assistant will provide proactive and high-quality support to three Exco members, taking ownership of their diaries, meetings, travel and day-to-day administrative requirements. The role requires someone who is highly organised, confident in dealing with senior stakeholders and able to anticipate requirements and manage competing priorities. The role will also provide a welcoming and professional experience for Exco members, colleagues and important visitors to the Manchester office.

Main Responsibilities

Executive Support

  • Provide proactive and effective EA support to three Exco members, taking ownership of their day-to-day administrative requirements.
  • Manage complex and often changing diaries, ensuring time is used effectively and meetings are prioritised appropriately.
  • Liaise with internal and external stakeholders to arrange meetings, coordinating availability and resolving diary clashes.
  • Ensure diaries are well organised, with appropriate time allocated for travel, preparation and other commitments.
  • Organise travel arrangements, including flights, hotels, transfers and itineraries, ensuring all arrangements are accurate and communicated clearly.
  • Arrange and coordinate meetings and events, ensuring all logistical requirements are considered in advance.
  • Prepare meeting agendas, packs, presentations and supporting documentation where required.
  • Support the preparation of materials for key leadership and management meetings.
  • Attend meetings where required to take accurate notes, minutes and actions, ensuring follow-up actions are clearly recorded.
  • Provide general administrative support to the Exco team, including expenses, correspondence and other ad hoc requirements.
  • Anticipate the needs of the directors and proactively identify ways to make their working day more efficient.
  • Handle confidential and sensitive information appropriately and maintain a high level of discretion at all times.
  • Build effective working relationships with colleagues, senior leaders and external stakeholders.

Exco & Visitor Support

  • Provide a warm, professional and welcoming experience for Exco members, senior colleagues and important visitors to the Manchester office.
  • Welcome and assist visitors attending meetings with Exco and ensure they are looked after appropriately during their visit.
  • Prepare meeting rooms ahead of important meetings, ensuring they are appropriately set up and ready.
  • Arrange refreshments, including tea and coffee, for Exco meetings and important visitors.
  • Coordinate lunch orders for the Exco/business support team and visitors when required.
  • Ensure the executive meeting and working environment is organised, professional and ready for the day's requirements.
  • Liaise with colleagues across the business to ensure visitors and senior stakeholders receive a positive and professional experience.

General Business Support

  • Provide additional administrative and organisational support to the wider Business Support team as required.
  • Support key business events, leadership meetings and other activities involving the Exco team.
  • Assist with the coordination of team activities, meetings and events.
  • Work collaboratively with other PAs/EAs and Business Support colleagues to provide effective cover and continuity of support.
  • Take a proactive approach to identifying improvements to administrative processes and ways of working.

Essential Qualifications, Skills And Experience

  • Strong administrative and organisational skills, ideally gained within a PA/EA or senior administrative role.
  • Previous experience of supporting senior leaders or executives would be desirable.
  • Excellent diary management skills and the ability to manage multiple, complex and changing priorities.
  • Excellent communication and interpersonal skills, with the confidence to communicate professionally with senior stakeholders, colleagues and external contacts.
  • A professional, friendly and approachable manner, with a strong focus on providing excellent service.
  • Ability to work independently, use initiative and anticipate the needs of senior leaders.
  • Ability to remain calm and organised when working under pressure and managing competing priorities.
  • Excellent attention to detail and a high level of accuracy.
  • Excellent Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint.
  • Ability to prepare professional documents, presentations and meeting materials.
  • Ability to record and write accurate, concise minutes, notes and actions.
  • Demonstrable problem-solving skills and the ability to find practical solutions.
  • Ability to handle confidential and sensitive information with discretion.
  • Flexible and willing to support the wider team when required.
