Executive Assistant to the Chair

We are seeking a highly professional and experienced Executive Assistant to support the Chair of a FTSE 100 organisation. This is a pivotal role providing first-class administrative, organisational, and strategic support, ensuring the Chair operates efficiently and effectively across board, governance, and stakeholder responsibilities. This is a 1-2-1 executive assistant role, working as part of a small team.

The successful candidate will act as a trusted partner, managing a complex and fast-moving schedule while maintaining the highest levels of confidentiality, professionalism, and discretion.

The role will involve extensive liaison with board members, senior executives, investors, and external stakeholders.

This position requires an individual who is highly organised, proactive, and capable of anticipating needs, with the judgement and diplomacy required to operate at the most senior level of a listed organisation.

Key Responsibilities

Executive Support

  • Provide comprehensive administrative and organisational support to the Chairman.
  • Manage a complex and constantly evolving diary, prioritising competing demands and ensuring effective time management.
  • Coordinate domestic and international travel arrangements, including itineraries, visas, and logistics.
  • Prepare briefing packs, background materials, and documentation ahead of meetings, events, and engagements.
  • Screen and manage incoming communications and correspondence.

Board & Governance Support

  • Coordinate Chairman-related activity with the Company Secretary and Board office.
  • Assist with preparation and distribution of board papers and committee materials where appropriate.
  • Support the organisation of board meetings, strategy sessions, and governance-related events.
  • Maintain accurate records and documentation relating to board activities and external engagements.

Stakeholder Management

  • Act as a key point of contact for Board members, Non-Executive Directors, senior executives, and external stakeholders.
  • Facilitate relationships with internal leadership teams and ensure efficient follow-up of actions arising from meetings.

Coordination & Planning

  • Plan and coordinate meetings, events, and engagements hosted or attended by the Chair.
  • Support preparation for investor meetings, conferences, and industry engagements.
  • Assist with planning for AGM activities and other key corporate events.
  • Ensure logistical arrangements run smoothly and efficiently.

Office & Administrative Management

  • Monitor and manage expenses in line with company policies.

Candidate Requirements

  • Significant experience supporting C-suite executives, Board members, or a Chairman/CEO within a large corporate environment.
  • Experience working within a listed company is advantageous.
  • Proven ability to manage inbox, diaries, travel arrangements, and senior stakeholder relationships.
  • Exceptional organisational and time-management skills.
  • Strong written and verbal communication skills.
  • High level of discretion, professionalism, and integrity.
  • Ability to anticipate needs and operate proactively.
  • Calm and effective under pressure in a fast-paced environment.
  • Strong attention to detail and ability to manage multiple priorities simultaneously.
  • Highly trustworthy with the ability to handle sensitive information.
  • Professional and confident when interacting with senior stakeholders.
  • Flexible and adaptable approach to work.
  • Strong judgement and diplomacy.

Applicants must be comfortable being predominantly office based in London with agile working available where required.
