The Mission
Provide dedicated, high-level executive assistant support shared between the Partnership Director and the Client Relations Director protecting both directors' time for their highest-value activities, keeping the business development and client relations function organised and accountable, and ensuring clients experience a consistently professional.
Why This Role Matters Now
Both directors' diaries, client commitments and internal accountability actions have grown to the point where they need dedicated support to stay focused on selling and managing relationships rather than admin. This is a newly created role built to close that gap and give the sales and client relations function a single point of organisation.
Key Responsibilities
- Calendar & time management — Manage and protect both directors' calendars, prioritising time for key tasks, and proactively follow up on outstanding actions and commitments.
- Accountability & governance — Hold both directors accountable for SLT and other internal management actions, and assist with proper allocation of time and accountability against key "rocks" (quarterly priorities).
- Client experience — Own the end-to-end "white glove" experience for client factory visits, from planning through to on-the-day coordination.
- CRM & reporting — Provide Salesforce support and day-to-day management, and produce reporting and insights for both directors.
- Email & inbox management — Manage inboxes for both directors, leaving a focused inbox with only key tasks.
- Meetings — Assist with preparation for key meetings and book in D2D/key client strategic meetings.
- General admin — Provide wider general admin support across the sales team.
- Demo van — Organise demo van logistics, including scheduling and onboard marketing collateral stock management.
- People management support — Assist with documentation for holding direct reports accountable in 1-2-1s, and maintain tracking of personal development plans (PDP).
- Out-of-hours availability — Be available for last-minute or out-of-hours requests from Ben and Brad, such as transport changes or bookings.
- Board meetings — Work with Ben and Brad on producing board slides in a timely manner.
- Collaboration — Work closely with the EA to Nathan Rowles, Managing Director, Ashley Smith Operations Director and Tommy O’Brien Plant Director to ensure the SLT are aligned and full cover.

- Protected diaries — Both directors' diaries protect time for their highest-value work, with nothing important slipping through the inbox.
- Seamless client experience — Every high-level client Ben or Brad comes into contact with is followed up on, with every promise and action delivered — a standard of white-glove follow-through no one else could provide.
- Own internal data projects — Salesforce data is current and accurate, and internal data projects are owned end to end: assist with digging into performance, fact-finding to surface strategic insights both directors can act on.
- Nothing chased — SLT actions and key "rocks" are tracked and followed up without needing to be chased.

Key Characteristics
- Highly organised — juggles two directors’ diaries, inboxes and admin without things slipping.
- Discreet and professional — highly trusted with sensitive client and internal information, and comfortable representing both directors.
- Proactive — follows up before being asked, rather than waiting to be chased.
- Confident communicator — comfortable liaising with clients, SLT and the wider sales team.
- CRM-literate — comfortable working in Salesforce day to day.
- IT-literate — confident with Excel and PowerPoint, able to get genuine value out of AI tools such as Claude and ChatGPT, and strong email etiquette.
- Ownership mentality — holds directors accountable to actions and sees tasks through to completion.
