Job Description
The Role:
We are seeking a motivated and detail-oriented Executive Assistant I to become the center of communication for a team of investment bankers. In this role you will keep your team organized and running smoothly, managing complex calendars, coordinating travel, and executing the details behind meetings and conferences. Working closely with our Operating Support Staff and your teammates in a fast-paced environment with constantly shifting priorities, you will be a dependable partner who is always ready to pitch in and help the team succeed.

Core Responsibilities:
- Communication Hub: Operate as the center of communication for your team, preparing professional business communications and serving as the point of contact between your bankers and the rest of the firm.
- Calendar Management: Manage complex calendars for multiple executives, prioritizing schedules and identifying and resolving conflicts as they arise.
- Logistics & Travel Coordination: Coordinate domestic and international travel arrangements.
- Expense & CRM Management: Prepare accurate, timely expense reports and keep the team's CRM current, logging client contacts and touchpoints so relationships are well tracked to support business development.
- Meeting & Conference Execution: Plan and execute the details of meetings and conferences, including conference room reservations, catering, audio/video needs, and all other essential services.
- Team Collaboration: Work day-to-day with the Operating Support Staff and your teammates, pitching in wherever needed to keep the team running smoothly.
Job Specific Competencies, Education and Experience:
Required
- 2+ years of related experience
- Proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Teams
- Ability to manage heavy calendar and contact management responsibilities
- Editing and formatting skills in PowerPoint using templates

Preferred
- Experience managing multiple executive inboxes, prioritizing emails, and responding on a banker's behalf as appropriate
- General Excel formula capabilities to organize data and build out dashboard requests
- Interest in learning the M&A and private capital advisory deal process from pitch to close
- Familiarity with Concur for expense reporting and CRM systems is a plus, as is the ability to learn new tools quickly
- Experience in finance or professional services is a plus but not required
- Comfortable using technology, including AI tools, to streamline workflows and drive efficiency

Work Experience
