Executive Assistant
Location: Canary Wharf, Bank Street
Role Type: Contract - 12 months
Work Setup: Hybrid - 5 days in the office for the first few months then will move to 4 days (8am - 5:30pm)

The Role
Our client is a large multinational firm that provides a range of financial services, including advisory, investment, and asset management solutions. It serves a diverse set of clients worldwide, focusing on strategic planning, market operations, and long-term financial growth.
What you'll do
- Manage complex diaries, coordinate meetings, and prioritize changing schedules for senior stakeholders.
- Organize domestic and international travel, accommodation, visas, itineraries, and process expenses in line with company policy.
- Act as the main point of contact, handling calls, emails, and correspondence while maintaining strong stakeholder relationships.
- Prepare meeting packs, presentations, and documentation, ensuring all attendees are fully briefed in advance.
- Maintain confidential records, update CRM systems, and provide accurate administrative support across the team.
- Support client events, team activities, and provide Executive Assistant cover during periods of absence, while assisting with ad hoc projects as required.

What you bring
- Extensive Executive Assistant experience supporting Managing Directors (MD) and Executive Directors (ED) within large corporate organizations, such as investment banking, financial services, legal, or consultancy firms.
- Proven experience managing complex diaries, international travel, expenses, and senior stakeholder support in a fast-paced environment.
- Excellent organizational skills with the ability to prioritize multiple tasks and work under pressure.
- Strong communication and relationship-building skills, with confidence engaging stakeholders at all levels.
- Highly proficient in Microsoft Outlook, Word, Excel, and PowerPoint, with excellent attention to detail and discretion when handling confidential information.
- Proactive, professional, and adaptable, with the ability to work independently, use initiative, and support a collaborative team environment.
