Our client is a fast-growing specialty insurance business dedicated to bringing technical excellence, operational agility, and structured execution to the insurance marketplace. Operating across underwriting, claims, operations, and partner networks, they combine deep industry expertise with modern technology to deliver market-leading specialty insurance programs.
As the executive team continues to drive strategic growth and platform expansion, they are looking for a proactive, highly organised Executive Assistant & Operations Coordinator to optimise leadership efficiency and streamline operational workflows.
This role offers absolute operational visibility and high-impact involvement across the business, serving as a trusted point of contact between executive leaders, internal teams, board committees, and key external partners.
About the Role
Reporting directly to the Chief of Staff, this is a hands-on, high-impact role designed for a skilled coordinator who excels at bringing order to fast-moving priorities. You will serve as the organisational and administrative engine behind the Executive Leadership Team - managing complex diaries, collating executive reporting packs, and ensuring strategic commitments move from discussion to delivery.

Operating in a collaborative, fast-paced environment, you will combine executive assistance with broader operational coordination - tracking key business actions, supporting people and engagement initiatives, and helping maintain seamless day-to-day operations across leadership.
Key Responsibilities
- Proactively manage complex, fast-moving executive diaries, balancing competing priorities, coordinating travel, and serving as a gatekeeper for senior leadership.
- Act as a professional first point of contact for internal and external stakeholders, building strong cross-functional relationships and tracking action delivery.
- Collate management information (MI), operational metrics, and dashboards to produce clear board, committee, and leadership reporting packs.
- Prepare meeting agendas, board packs, and presentations; attend key leadership forums to take concise minutes, log decisions, and track action logs.
- Support executive-led engagement initiatives, coordinate candidate interviews and onboarding for senior hires, and handle sensitive, confidential matters with absolute discretion.
- Assist with cross-functional project tracking, maintain core governance documentation, and support continuous process improvement initiatives.
Skills & Competencies
- Exceptional planning, prioritization, and time-management skills with high attention to detail and accuracy.
- Strong interpersonal and written communication skills, with the confidence to influence and challenge constructively across all business levels.
- Absolute professionalism with high levels of discretion when handling confidential, executive-level information.
- A resourceful, solutions-focused mindset capable of anticipating bottlenecks and balancing shifting demands with composure.
- Comfort using data, tracking action items, and assembling clear presentations and executive summaries.

Qualifications & Experience
- Proven experience in an Executive Assistant, Personal Assistant, Operations Coordinator, or senior administrative role.
- Demonstrated track record supporting C-suite executives, senior leaders, or multiple key business stakeholders.
- Deep experience in complex calendar management, board/leadership meeting coordination, and executive document preparation.
- Background in insurance, MGA platforms, or broader financial services environments is advantageous but not essential.
Role Details
- Full-time permanent position (35 hours per week, Monday–Friday).
