Executive Assistant to the CEO

We are looking for a driven, commercially minded and highly organised individual to join us as Executive Assistant to our CEO / Chief of Staff.
Working closely with the CEO, you will act as a trusted partner, helping to manage priorities, drive key business initiatives and ensure the smooth running of both strategic and operational activities. Alongside providing executive support, you will play a central role in coordinating projects, managing international travel and events, and executing key actions and decisions across the company.
You will often represent and communicate on behalf of the CEO, requiring excellent judgement, discretion and the ability to build strong relationships with internal and external stakeholders. Responsibilities
- Act as a trusted partner to the CEO, helping to prioritise business needs, strategic initiatives and key opportunities.
- Coordinate and help drive key business projects, product launches and cross-functional initiatives, ensuring actions are delivered on time and to a high standard.
- Accountable for the management of the CEO’s diary, daily priorities and preparation for internal and external meetings.
- Co-ordinate presentations, reports and briefing materials for Board meetings, leadership meetings, commercial meetings and external engagements.
- Manage complex international travel arrangements, itineraries and logistics for the CEO, including country-specific visa requirements and coordinating with global partners for PR events and business reviews.
- Coordinate senior leadership meetings, including agenda preparation, minute-taking and ensuring agreed actions are followed through within the established timeframe.
- Act as a key point of contact between the CEO and internal and external stakeholders.
- Manage travel and expenses budgets and identify opportunities to improve efficiency and effectiveness across business operations.
- Support the planning and execution of major brand events, including our annual Cannes exhibition and other international activities.
- Organise gatherings and events for the head office team and off-site senior management events.
- Oversee office and facilities management to ensure a professional and efficient working environment.
- Act as the primary liaison with our external HR provider and support people-related processes and organisational initiatives.
- Handle highly confidential information with discretion, professionalism and sound judgement at all times.
- Ad-hoc assistance with personal tasks for the CEO.

Qualifications & Experience
- Good standard of education.
- 5+ years’ experience supporting a Founder, CEO or senior executive, ideally within a luxury, consumer, retail or entrepreneurial business.
- Excellent organisational skills with the ability to manage multiple projects and competing priorities.
- Strong attention to detail and exceptionally high standards of execution.
- Highly numerate and confident using Excel, PowerPoint and business reporting tools.
- Outstanding written and verbal communication skills.
- Gravitas and the ability to influence and manage stakeholders at all levels.
- Strong judgement, initiative and solutions-focused attitude.
- Demonstrated experience of handling highly confidential information.
- Passion for luxury brands and an appreciation of the fragrance, beauty or lifestyle sectors.
- Flexible, resilient and comfortable operating in a fast-paced environment where priorities can change quickly.
