Executive Assistant

Established in 1909, Marshall is an aerospace and defence company supporting governments and prime contractors worldwide. We are a global leader in military MRO, keeping fleets mission-ready — including the C-130 Hercules, which we've supported since 1966 with multiple world-first accreditations. We also design and manufacture precision parts and subsystems for flagship defence programmes under long-term contracts with major OEMs.

We now have an exciting opportunity available for an Executive Assistant to provide proactive, highly organised and confidential Executive Assistant support to senior leadership, enabling them to manage business priorities effectively in a fast-paced, security-conscious aerospace environment.

The role is a key point of contact for internal and external stakeholders, including customers, suppliers, and regulatory or government contacts and coordinates meetings, Board activity, travel and key business processes, including the financial calendar and annual reporting cycle.

Responsibilities

  • Providing proactive, confidential EA support, anticipating requirements and ensuring senior leaders are fully prepared for meetings, commitments and key business activities
  • Managing complex and frequently changing diaries, balancing competing priorities and resolving conflicts across multiple stakeholders and, where relevant, time zones
  • Coordinating internal and external meetings, including logistics, agendas, papers, presentations and follow-up actions
  • Acting as first point of contact for internal and external stakeholders, including senior leaders, Board members, customers, suppliers, and regulatory or government contacts
  • Meeting and greeting visitors at all levels of seniority, including official delegations, in line with site security procedures
  • Screening and managing calls, correspondence and enquiries, responding directly where appropriate and escalating sensitive matters with sound judgement
  • Creating and formatting PowerPoint presentations, Board papers and corporate documentation, at times involving commercially sensitive information
  • Supporting the financial calendar and annual report process, working closely with Finance on timings, formatting and deadlines
  • Maintaining office and information systems, including filing and records, in line with company security classifications and confidentiality requirements
  • Managing expenses, purchase orders and budget tracking in line with company processes
  • Coordinating logistics for industry events, conferences and trade shows
  • Acting as liaison across functions to facilitate effective communication and timely completion of actions

Essential Criteria

  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Strong written communication, document production and formatting skills
  • Sound understanding of data protection, confidentiality and information/document management requirements
  • Ability to coordinate complex, multi-leg domestic and international travel
  • Understanding of Board and committee meeting processes and corporate governance practices (advantageous)

Training or experience relating to Company Secretariat, corporate governance or Board administration would be advantageous.

  • Significant experience as a PA/EA in a professional corporate environment, ideally supporting C-Suite or Director level
  • Experience coordinating meetings involving senior stakeholders and/or Board members, including papers and follow-up
  • Experience managing complex diaries, travel and multi-function processes under competing deadlines
  • Proven ability to work independently, exercise sound judgement, and maintain composure and discretion under pressure, with a track record of engaging professionally and confidentially with stakeholders at all levels of seniority
