Job Title: Administrative Business Partner (Executive Assistant)
Location: London, UK (Hybrid - Tuesday to Thursday in the office)
Rate: £34.62 per hour
Contract Duration: September 2026 - June 2027
Hours: 9:00am - 6:00pm
About the Role
We are seeking an experienced Administrative Business Partner (ABP) to provide high-level executive support within a fast-paced, global corporate environment. This role requires a proactive and highly organised professional who can manage complex calendars, international travel, events, expenses, and strategic administrative activities while supporting senior leadership.
The successful candidate will be trusted with confidential information, build strong relationships across multiple stakeholder groups, and play a key role in ensuring operational efficiency across the business.
Key Responsibilities
Executive Support
- Manage complex calendars, scheduling, and meeting coordination across multiple time zones.
- Prioritise and optimise executive schedules to support business objectives.
- Prepare agendas, presentations, meeting materials, and notes.
- Coordinate internal and external communications on behalf of senior leaders.
Travel & Expense Management
- Arrange domestic and international travel, including flights, accommodation, visas, itineraries, and logistics.
- Manage expense reports, invoices, purchase orders, and budget-related activities.
- Support executives before, during, and after business travel as required.

Events & Project Coordination
- Plan and deliver internal and external events, team off-sites, leadership meetings, summits, and business programmes.
- Coordinate vendors, venues, catering, travel arrangements, equipment, and event logistics.
- Act as a key point of contact for event management and execution.
- Support medium to large-scale projects from planning through delivery.
Office & Operations Support
- Support office planning, workspace allocation, and employee accommodation requests.
- Partner with workplace, facilities, and other internal teams to ensure effective office operations.
- Champion team culture, engagement initiatives, and site-wide programmes.
Stakeholder Management
- Build strong relationships with senior executives, business leaders, and cross-functional teams.
- Exercise excellent judgement, discretion, and confidentiality.
- Proactively identify issues, solve problems, and drive process improvements.
Requirements
Essential
- Experience as an Executive Assistant, Administrative Business Partner, or similar senior administrative role.
- Experience supporting senior executives, directors, or leadership teams.
- Previous experience within large, complex, global organisations.
- Exceptional calendar management and scheduling skills.
- Strong experience coordinating international travel and expenses.
- Proven experience organising events and managing logistics.
- Excellent communication and stakeholder management skills.
- Ability to handle confidential information with professionalism and discretion.

Preferred
- Previous experience working within a large technology or multinational organisation.
- Previous experience in a similar Administrative Business Partner environment.
- French language skills would be advantageous.
- Experience supporting teams across multiple countries and regions.
Additional Information
- Hybrid working model with flexibility.
- Occasional travel across the EMEA region (approximately 4-6 trips per year), including locations such as Paris, Madrid, and Amsterdam.
