Role Summary
Providing administrative assistance to a pool of executives including but not limited to Head of Change and Integration, Global Head of Operations, Head of Strategic Initiatives, Head of HR and Head of Legal focusing on Travel as well as offering administrative support to the leadership team in associated departments as and when required.
Responsibilities
- Arrange all aspects of business travel, preparing travel agendas, maintaining travel itineraries and coordinating bookings
- Assist with the processing and coding of invoices and the submission of expenses in accordance with the T&E policy. Submitting expense reports when necessary
- Coordinate events, offsites, and virtual events such as Departmental Town Halls, coordinating vendors as required. Coordinating the joiner & leaver process within Operations, Change, Onboarding and Procurement
- Keep email groups up to date
- Assistance with organizing meetings when external guests are involved, booking guests in with reception and escorting them to meeting rooms
- Coordinate desk moves & logistical organization
- Provide cover for members of the Executive Support Team during periods of absence

Skills and Experience
- Experience of using Travel and Expenses platforms
- Strong team player, able to identify requirements of staff in the office and assist
- Experience of using Microsoft packages – Word, Excel, Outlook, PowerPoint
- Excellent time management and organizational skills
- Excellent attention to detail and accuracy
- Proactive and innovative approach
- Problem solving skills
- Experience working in a regulated environment and knowledge of the risk and compliance requirements associated with this.
