We are currently looking for an Executive Assistant who will provide comprehensive administrative and operational support to Senior Leadership Team members and Vice Presidents within Global Operations.
This role requires a highly organized, detail-oriented professional who can manage multiple priorities, exercise sound judgment, maintain confidentiality, and support leaders in a dynamic, global environment.
This position involves regular interaction with executive management, cross-functional teams, and exposure to sensitive business information.
What will you be doing?

Manage Executive and Administrative Support
- Manage complex calendars
- Coordinate meetings and appointments across time zones
- Arrange domestic and international travel
- Prepare itineraries
- Process travel and expense reports, purchase orders, check requests, and office supply orders

Coordinate Meetings and Events
- Administer leadership meetings, including agenda preparation
- Coordination of pre-reading materials
- Meeting minutes
- Action item tracking
- Logistics for large-scale meetings, off-site conferences, and team events

Enable Communications and Stakeholder Support
- Act as a liaison between supported executives and internal stakeholders
- Screen inquiries
- Facilitate timely responses
- Compose routine correspondence
- Support preparation for leadership meetings with cross-functional teams

Maintain Department Operations
- Maintain confidential project files and records
- Keep digital collaboration spaces current
- Manage administrative systems and supplies
- Establish, implement, and continuously improve administrative systems, procedures, and policies that support effective department operations

Support Projects, Processes, and Budget Administration
- Support administrative projects through scheduling, documentation, process execution, spreadsheet creation, report preparation, development of PowerPoint presentations and briefing materials, budget preparation, expense monitoring, and research of discrepancies as needed

Provide Administrative Process Guidance
- In conjunction with department staff, organize office workflow
- Provide technical guidance, training, and administrative process support to staff as needed

Performs other duties as required
What will you need to be successful?
- Previous experience in similar role, supporting senior leaders.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Experience managing complex calendars, meetings, travel arrangements, and expenses.
- Excellent communication and stakeholder management skills.
- High level of discretion and ability to handle confidential information.
- Proficiency with Microsoft Office applications.
- Strong attention to detail and problem-solving skills.
- Ability to work independently while building effective relationships across teams.
- Experience supporting international teams and working across multiple time zones is an advantage.
