Executive Assistant – Legal

Location: Central London
Work Pattern: 4 days in office required per week; 40 hours per week
Contract Type: 12 month contract
Pay Rate: £220 per day (c. £57,000 annual equivalent)

About the Role

A leading global enterprise is seeking a highly organised Executive Assistant II to provide comprehensive administrative support to 2 Directors within the UK & EU Legal team, based in London. This role requires exceptional calendar management skills, the ability to work across a complex international legal organization with competing priorities, and strong judgment in handling ambiguous situations involving privileged and confidential matters.

Primary Responsibilities

Calendar Management

  • Manage complex, high-volume calendars for 2 Directors with extensive meeting schedules across EU Legal, international divisions, and cross-functional teams.
  • Coordinate meetings with internal and external stakeholders, including law firms, regulators, and government bodies, across multiple time zones such as the UK, EU, and US.
  • Exercise sound judgment in prioritising meeting requests and resolving scheduling conflicts, particularly around quarterly and monthly business reviews, as well as recurring leadership cadences.
  • Manage multiple simultaneous scheduling requests with competing deadlines.
  • Proactively identify and resolve calendar conflicts based on business priorities and Director preferences.

Administrative Support

  • Schedule and coordinate meetings including recurring legal cadences and one-off engagements with external counsel and regulators.
  • Process and reconcile expense reports and approve fee invoices accurately and in a timely manner.
  • Coordinate domestic and international travel arrangements.
  • Plan and execute large-scale events and off-sites, such as regional legal gatherings and team events.
  • Handle privileged and confidential legal information with discretion and professionalism.

Required Qualifications & Skills

  • Experience as an Executive Assistant supporting senior legal leadership.
  • Proven track record of managing calendars for executives with high meeting volumes across international time zones.
  • Strong prioritisation skills and the ability to make sound judgments in ambiguous situations.
  • Excellent organisational abilities with meticulous attention to detail.
  • Ability to multitask effectively and manage multiple competing requests simultaneously.
  • Professional communication skills, both written and verbal.
  • Proficiency with Microsoft Outlook, calendar management tools, and expense reporting systems.
