Abbey People is looking for an organised, proactive and solutions focused Executive Assistant to work closely with our CEO and wider team.
This is much more than a traditional Executive Assistant role. You will play a key part in how the organisation operates, helping to improve systems, streamline processes and free up the CEO to focus on fundraising, partnerships and the future development of Abbey People.
It is a varied role where you will have the opportunity to take ownership, introduce new ideas and make a visible difference.
What you will be doing
- Manage the CEO's diary, inbox, correspondence and priorities
- Support meetings, reports, presentations and follow up actions
- Review and improve internal systems, processes and workflows
- Lead the development of the CRM/database, including Salesforce or a similar platform
- Improve data management, reporting and system usage across the team
- Identify and introduce useful AI and digital tools to reduce administration and help the team work more efficiently
- Support fundraising, sponsorship, grant applications and partnership activity
- Coordinate grant and networking opportunity tracking
- Act as Clerk to the Board of Trustees, supporting meetings, papers, minutes and actions
- Support HR activity including recruitment, job descriptions, policies, onboarding and training
- Support safeguarding processes and organisational compliance
- Coordinate events and represent Abbey People at networking and community events

About you
We are looking for someone who is naturally organised, curious and proactive, with the confidence to take ownership and make things happen.
You will ideally have experience in executive support, operations, business support, office management or a similar role, together with:
- Excellent organisational and project management skills
- Experience supporting senior leaders and managing competing priorities
- Experience improving systems, processes or workflows
- CRM or database experience, ideally Salesforce or similar
- Strong IT skills and confidence using AI tools such as ChatGPT, Microsoft Copilot or similar
- Experience of HR administration and recruitment
- Excellent written and verbal communication skills
- Strong attention to detail and discretion when handling confidential information
- The confidence to work with senior stakeholders, Trustees, volunteers and external partners
