Location: Wimbledon, London

Hybrid: 3 days per week in the office Salary: £40,000 to £45,000

We are looking for an experienced Executive Assistant to join the Harnham Group, providing dedicated support to senior leadership across both Harnham and Rockborne.

This is a varied and highly visible role working closely with the CEOs of both businesses, as well as supporting wider leadership activities across the Group. Combining traditional Executive Assistant responsibilities with office coordination, board administration and operational support, this is an excellent opportunity for someone who enjoys variety, autonomy and working closely with senior decision-makers.

You will act as a trusted partner to senior stakeholders, taking ownership of diary and inbox management, travel planning, board meeting coordination, expenses, event organisation and executive administration, whilst helping to ensure the smooth day-to-day running of our Wimbledon office.

This role would suit someone who is highly organised, proactive and adaptable, with the confidence to manage competing priorities and build strong relationships across all levels of the business.

Key Responsibilities

  • Proactively manage complex diaries across multiple senior stakeholders, ensuring effective prioritisation and use of time.
  • Manage executive inboxes, ensuring correspondence is organised, prioritised and actioned appropriately.
  • Coordinate internal and external meetings, including scheduling, room bookings, Teams meetings and preparation of supporting materials.
  • Prepare agendas, presentations, briefing packs and business documentation.
  • Arrange domestic and international travel, including flights, accommodation, transfers and itineraries.
  • Process expenses, reconcile corporate card statements and support invoice administration.
  • Handle confidential and commercially sensitive information with discretion and professionalism.
  • Act as a key point of contact between senior leaders and internal and external stakeholders.
  • Coordinate board and leadership meetings, including agendas, papers, minute taking and follow-up actions.
  • Track actions arising from meetings and ensure appropriate follow-up.

Office & Operational Support

  • Support the day-to-day operation of the Wimbledon office.
  • Act as a key point of contact for suppliers, contractors and service providers.
  • Coordinate office maintenance requirements and liaise with building management where necessary.
  • Manage access requirements for employees, visitors and contractors.
  • Assist with office facilities, supplies and workplace logistics.
  • Help maintain a professional, organised and welcoming office environment.

Experience & Skills

  • Previous Executive Assistant, Personal Assistant or senior business support experience.
  • Experience supporting senior stakeholders or executive-level leaders.
  • Excellent organisational skills with the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills.
  • Experience managing complex diaries, travel arrangements and meeting logistics.
  • Experience taking minutes and coordinating follow-up actions from leadership meetings.
  • Strong attention to detail and the ability to handle confidential information appropriately.
  • A proactive, solutions-focused approach with the confidence to work independently.
  • Strong stakeholder management and relationship-building skills.
