About 24/Three

24/Three is a growing, people-first architecture and masterplanning practice with studios in Newark and Northampton.

We work across residential, mixed-use, regeneration, and masterplanning projects throughout the UK, combining strong design thinking with commercial understanding and a practical design to build approach.

We're an ambitious and collaborative team, and as the practice continues to grow, we're looking for an experienced Executive Assistant to join us and provide dedicated support to our Managing Director.

The Role

This is a key role at the heart of 24/Three. Your primary focus will be providing proactive, high-level support to our Managing Director, helping him stay on top of a busy diary, inbox, meetings, priorities, and commitments.

You'll become a trusted point of support, managing the detail behind a busy schedule, anticipating what's coming up, making sure he's prepared, and keeping track of actions and deadlines. You'll also regularly communicate with clients, consultants, and other senior external contacts on his behalf, so confidence, professionalism, and discretion are essential.

What You'll Be Doing

Your day-to-day responsibilities will include:

  • Managing and coordinating the Managing Director's diary, meetings, and appointments
  • Managing and prioritizing the MD's emails and correspondence
  • Acting as a key point of contact and helping manage incoming enquiries and requests
  • Coordinating internal and external meetings
  • Preparing agendas, meeting papers, presentations, reports, and correspondence
  • Attending meetings where required, taking minutes, and recording actions
  • Maintaining action trackers and proactively following up outstanding actions
  • Keeping ahead of upcoming meetings, deadlines, and commitments and ensuring the MD is prepared
  • Coordinating business travel, accommodation, conferences, and external engagements
  • Liaising confidently with clients, consultants, suppliers, and other external stakeholders on behalf of the MD
  • Supporting the coordination of wider business priorities and activities
  • Handling confidential, personal, and commercially sensitive information with discretion
  • Providing flexible, ad hoc business and administrative support across the practice when required

About You

We're looking for someone who really understands what makes a great EA. You'll be highly organized, proactive, and comfortable juggling multiple priorities. You'll enjoy being one step ahead, anticipating what your Director might need, and making sure things happen without always needing to be asked.

You'll also need to be adaptable. We're a growing SME, so occasionally priorities change, something unexpected lands, or the wider team needs an extra pair of hands. You'll be someone who's happy to get involved and help find a solution.

We're looking for someone with:

  • Previous experience as an Executive Assistant, Personal Assistant, or in a similar senior business support role
  • Experience directly supporting a Director, senior leader, or leadership team
  • Excellent diary, inbox, and meeting management skills
  • Exceptional organization and time management
  • The ability to anticipate requirements and proactively manage priorities
  • Confidence managing multiple deadlines and competing demands
  • Excellent written and verbal communication
  • Strong attention to detail
  • A professional and confident manner when dealing with clients and senior stakeholders
  • The ability to handle confidential and commercially sensitive information appropriately
  • Confidence using Microsoft Outlook, Word, Excel, PowerPoint, and Teams
  • The ability to work independently, use initiative, and take ownership through to completion
  • A practical, solutions-focused attitude
  • A full, valid UK driving licence and access to a vehicle, as occasional travel between our studios and other business locations will be required

Desired Experience

We're particularly interested in hearing from candidates who have experience in some of the following:

  • Providing wider business or operational support alongside an EA or PA role
  • Working within a growing SME or fast-paced professional environment
  • Supporting a founder, Managing Director, or senior executive in a busy, hands-on role
  • Managing a busy executive inbox and confidently prioritizing or drafting correspondence on their behalf
  • Coordinating complex diaries involving internal and external stakeholders
  • Building strong working relationships with clients, consultants, and other senior external contacts
  • Coordinating business travel, meetings, events, and company activities
  • Supporting office or business operations
  • Using CRM, project management, or business management systems
  • Working within architecture, construction, property, design, or another professional services environment
