Job Description
Reporting directly to senior leadership, the Executive Assistant will play a critical role in ensuring the smooth and efficient operation of the executive office.
Key responsibilities include:
- Managing complex calendars, schedules, meetings, and executive priorities.
- Preparing meeting agendas, recording minutes, and producing clear executive summaries and action logs.
- Tracking key deliverables and following up with stakeholders to ensure timely completion of actions.
- Supporting the preparation of presentations, reports, dashboards, and leadership communications.
- Coordinating activities across multiple business functions, including Technology, Product, HR, Finance, Security, and Operations.
- Supporting project tracking, documentation management, and operational reporting through collaboration tools and productivity platforms.
- Assisting with administrative, operational, and strategic initiatives on behalf of leadership.
- Analysing and summarising data to support decision-making and executive reporting requirements.
- Building strong relationships across internal teams while acting as a trusted point of coordination for key stakeholders.

The Successful Applicant
The ideal candidate will be a highly organised and detail-oriented professional with proven experience supporting senior executives within a fast-paced environment.
- Bachelor's degree in Business Administration, Management, Information Systems, or a related discipline.
- Exceptional organisational, prioritisation, and multitasking capabilities.
- Strong written and verbal communication skills with the ability to engage confidently with senior stakeholders.
- Experience using AI-powered productivity tools to support research, documentation, reporting, and communication.
- Strong analytical skills with the ability to collect, organise, interpret, and present information effectively.
- Advanced proficiency in Microsoft Office applications, particularly Excel and PowerPoint.
- Familiarity with project management and collaboration platforms such as Jira, Confluence, GitLab, or similar tools.
- Understanding of technology environments, software development processes, or Agile methodologies would be advantageous.
- Mandarin language proficiency is essential.
