About You

As Executive Assistant, you'll support our CEO and CTO in a fast-moving and growing Deep Tech start-up. You'll be a trusted support of the founders, managing diaries, inboxes, travel and priorities so our leadership can focus on what matters most.

This is a hands-on, high-trust role for someone who has supported multiple founders or executives before, not just managed a single calendar - comfortable with fast-shifting priorities, investor and fundraising interactions and the pace of a start-up environment.

You bring agency, urgency and adaptability, moving between diary management, travel coordination, office operations and executive support seamlessly.

Key Objectives

  • Provide comprehensive administrative support to the CEO, CTO, and wider team, including diary management, inboxes, global travel coordination, and end-to-end meeting organisation, including investor and fundraising interactions.
  • Act as a trusted point of contact for the executive suite, managing communications and screening enquiries so priorities are handled efficiently.
  • Oversee day-to-day office operations, ensuring the smooth running of the workplace and its services.
  • Move fluidly between executive support, travel coordination, expenses and office operations as priorities shift.

Your Responsibilities

1️⃣ Executive Support

  • Provide comprehensive administrative support to the executive suite and ad hoc to the wider team, including diary management and inboxes
  • Act as a trusted point of contact for the CEO and CTO, managing inbox and communications, screening enquiries and ensuring priorities are handled efficiently

2️⃣ Meetings & Travel

  • Organise and support meetings end-to-end, including scheduling, agenda preparation, minute taking, and tracking actions to completion, including investor and fundraising interactions
  • Manage end-to-end global travel including detailed itineraries

3️⃣ Expenses & Office Operations

  • Submit executive expenses every two weeks
  • Oversee day-to-day office operations
  • Coordinate office services including catering, supplies, maintenance, and couriers as needed, working with the Operations and People Manager

  • Draft correspondence and update presentations and reports as needed
  • Take ownership of well-defined tasks, staying proactive and resourceful as priorities shift

Requirements

You may bring some (or many) of the following - don't worry if you don't have all these experiences, we value a willingness to learn and will support you to develop:

  • Proven experience in a similar role within a start-up or fast-paced environment
  • Previous experience supporting multiple executives
  • Demonstrable experience with diary management
  • Experience working with expenses and financial reporting
  • Strong organisational and multitasking skills with a keen eye for detail
  • Excellent written and verbal communication skills
  • Ability to work independently and manage competing priorities effectively
  • High agency and a strong sense of urgency, taking ownership and driving things forward without waiting to be asked
  • A people and relationship focused approach, building trust easily across the team and with external stakeholders
  • Ability to handle confidential information with discretion and professionalism

Ideal Experience

  • Experience in event coordination
  • A bachelor's degree
