Job Summary
IIQAF Group is seeking a highly organized and proactive Executive Assistant to provide administrative and executive support to senior management within the hospitality industry. The successful candidate will manage executive schedules, coordinate meetings, prepare business documents, handle correspondence, and support daily office operations to ensure efficient business management.
This role is suitable for candidates with experience as an Executive Assistant, Personal Assistant (PA), Senior Administrative Assistant, Executive Secretary, or Management Assistant who can maintain confidentiality, prioritize tasks, and communicate professionally in a fast-paced business environment.
Key Responsibilities
- Provide comprehensive administrative and executive support to senior executives, directors, and management teams.
- Manage executive calendars, appointments, business meetings, and daily schedules.
- Coordinate internal and external meetings, prepare agendas, and distribute meeting minutes and follow-up actions.
- Arrange business travel, including flights, accommodation, transportation, itineraries, and travel documentation.
- Draft, proofread, and format professional emails, reports, presentations, letters, and business correspondence.
- Handle incoming calls, emails, inquiries, and confidential communications professionally.
- Maintain organized electronic and physical filing systems, records, contracts, and business documents.
- Assist with preparing reports, presentations, expense statements, invoices, and other administrative documentation.
- Coordinate communication between senior management, employees, clients, suppliers, and hospitality business partners.
- Assist with office administration, meeting room arrangements, and general executive office operations.
- Identify opportunities to improve administrative processes, document management, and executive workflow efficiency.

Required Qualifications

- Bachelor's degree or diploma in Business Administration, Office Administration, Management, Hospitality Management, or a related field is preferred.
- Proven experience as an Executive Assistant, Personal Assistant, Executive Secretary, Senior Administrative Assistant, or in a similar executive support role.
- Experience providing administrative support to senior management, directors, or executives is an advantage.
- Previous experience in hospitality, hotels, restaurants, tourism, corporate services, or a related service industry is desirable.
- Strong written and verbal communication skills in English.
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Experience managing executive calendars, scheduling appointments, coordinating meetings, and arranging business travel.
- Ability to prepare professional business correspondence, reports, meeting agendas, and presentations.
