Birchrose Associates is proud to be representing a leading UK law firm based in London, which is seeking an experienced Executive Assistant to join its insurance team on a permanent basis.
The Firm

The Opportunity
The successful candidate will provide comprehensive Executive Assistant support to multiple lawyers within the firm’s Insurance team, working closely with lawyers, Team Leaders, Business Services and the wider Executive Support function. Duties will include:
- Manage multiple lawyers, prioritising workloads and delegating effectively to Administrative Assistants, Document Production and other support teams
- Manage complex diaries and appointments
- Monitor inboxes, manage emails and progress instructions
- Coordinate meetings and travel arrangements, including overseas travel, accommodation, rooms and catering
- Support business development activity, including events, client updates, newsletters, legal directory submissions and lawyer biographies
- Assist with client and matter inception, including conflict checks, matter risk assessments and liaising with the Central Inception team
- Support financial management and billing, including preparing billing guides, raising draft proformas, preparing client invoices and liaising with the Finance team
- Run client financial reports and assist with general client and finance queries
- Draft initial correspondence and legal documents and coordinate file reviews
- Build strong relationships with internal and external clients, acting as a key point of contact and delivering a high level of client service

This Executive Assistant position is a full-time, permanent opportunity, working 9:30am to 5:30pm, in London.

Requirements
- Previous EA/ Legal PA experience within a law firm or professional services environment (essential)
- Experience supporting lawyers or other senior professionals would be highly (desired)
- Strong diary, inbox and workload management skills
