Executive Assistant
We are a Main Market LSE listed company which provides a complete range of drilling and mining services. With our footprint continuing to expand we are looking for a dedicated and professional Group Executive Assistant.
Location: Our office London UK
Capital Limited is seeking an Executive Assistant to support the Group Chief Financial Officer and the London-based team. This is a broad, hands-on support role covering three core areas: executive assistant support, day to day office management, and travel management for the CFO and other executives.
The role holder will work closely with, and under the guidance of the EA Lead, providing capacity across executive support, office operations and travel coordination. It is an excellent opportunity for a highly organized, proactive individual to build a career in executive and corporate support within a fast-paced, listed international business.
Job Requirements and Duties
- Support diary management, scheduling, meeting coordination and priority planning for the CFO
- Help coordinate Executive Leadership Team meetings and follow up on agreed actions
- Assist with preparing agendas, minutes, presentations, briefing papers and executive documentation for Board, Committee and wider Group meetings
- Provide administrative support to the CFO and senior leadership team, including document signing and approvals, and managing couriers for documentation
- Support AGM preparation, including liaison with brokers and Investor Meet Company on venue and video-conferencing set-up, and general investor-related administration
- Support the day-to-day operation of the London office
- Manage office supplies, equipment, technology and consumables
- Act as a point of contact for building management, landlords, suppliers and vendors
- Coordinate office maintenance, workspace planning and operational requirements
- Manage visitor arrangements, meeting rooms and workspace availability
- Maintain and help develop office procedures
- Collect all post and ensure bills received by post are passed to Capital Accounts for processing
- Coordinate global travel for the CFO and other executives as requested
- Book flights, accommodation, visas, transfers and other travel requirements
- Prepare clear itineraries, confirmations and travel briefing information
- Liaise with travel agents and manage travel approvals
- Support supplier relationships and help negotiate corporate hotel and travel rates
- Coordinate travel logistics for conferences, offsites and business events

Education Required

- Bachelor's degree in business administration or any relevant field
Experience and Skills Required
- Minimum 5-years prior experience in an Executive Assistant and office management role supporting C-suite or Partner level individuals
- Excellent organizational skills with the ability to manage multiple priorities and deadlines
- Strong written and verbal communication skills, with a professional, confident manner when liaising with senior executives, board members and external contacts.
- High level of discretion and ability to handle confidential and sensitive information.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook); comfortable learning new systems and tools
- Calm, adaptable and solutions-focused, with good judgement under pressure and tight timelines
- A proactive, can do attitude and strong attention to detail
