The Role
We’re looking for an exceptional Executive Assistant to become a genuine strategic partner to our CEO, Joanna Allen, at a pivotal moment for Little Moons.
This is not a traditional EA role. It is a high-trust, high-impact role for someone who wants to sit at the centre of a fast-growing, ambitious business and materially shape how our CEO spends her time, energy and attention. You’ll be closer to the story of the business than almost anyone else in the company. You’ll be trusted with confidential, business-critical work. You’ll be the connective tissue between the CEO and the leadership team. And you’ll have real ownership over how her weeks are shaped, how her meetings run and how she is set up to lead well.
This role suits someone with real judgement, discretion and drive. Someone who is comfortable holding firm lines on behalf of a busy CEO and confident telling her when she is wrong about where her time should go. Someone who can walk into a room of senior stakeholders and hold their own. And someone who cares as much about the quality of the thinking behind the diary as the diary itself.

What You’ll Own
Shaping how the CEO’s time is spent
- Own the strategic diary, actively deciding what deserves the CEO’s time and pushing back on what does not. Not scheduling around inbound demand but making the diary reflect what matters most.
- Manage the shape of the week as well as the content, protecting deep-work time, building in prep and recovery around high-stakes moments and holding firm on the space she needs to lead well.
- Act as a trusted filter for asks, requests and introductions, making judgement calls on what needs the CEO and what does not.
Making sure the CEO walks into every meeting prepared
- Build pre-meeting briefings for external and key internal meetings, covering who, what they want, what we want, relevant context and likely questions.
- Track commitments and follow-through from important meetings, surfacing slippage before it becomes a problem.
- Prepare board, leadership and all Company meeting materials with sharpness and accuracy and make sure post-meeting actions actually happen.
Being the connective tissue across the leadership team
- Build strong working relationships with the Executive Team and their teams, becoming the trusted routing point for what needs the CEO and what does not.
- Give the CEO ambient awareness of what is happening across the business on days she is not in the office, and flag things that need her attention before she has to ask.
- Own the choreography of leadership offsites, Executive Team meetings and cross-team moments.

Handling confidential and sensitive work with real judgement
- Support confidential workstreams involving external advisors, board members and other sensitive stakeholders with absolute discretion.
- Exercise judgement on how correspondence, meetings and materials are handled, filed and communicated.
- Be a warm, professional and highly credible face of the CEO’s office to external partners, investors and senior stakeholders.
Operational foundations
- Manage complex international travel, accommodation and itineraries with accuracy and care.
- Manage inbox triage where appropriate, escalating what needs the CEO and handling what does not.
- Manage scheduling of Board meetings, ensuring pre-reads & minutes circulated.
- Keep systems, trackers and shared documents accurate and easy to navigate.
- Contribute as needed to delivery of our Company OKRs.
- Contribute to the Brighter Future Sustainability Strategy.
Essential
Experience we’re looking for:
- Significant experience supporting a CEO or Founder in a fast-moving business.
- Track record of exercising real judgement, discretion and initiative, not just executing tasks.
- Confident preparing board and leadership materials, briefing notes and executive-level communications.
- Experience managing international travel and multi-stakeholder diary coordination.
- Highly proficient in Microsoft 365, particularly Outlook, Teams, PowerPoint and Excel.
Ideally
- Experience in FMCG, consumer goods, retail or another fast-paced consumer-facing business.
- Experience in a Private Equity-backed or high-growth business through change.
- Experience planning internal events, offsites or company-wide meetings.
You’ll Probably Be Someone Who
- Has real judgement and is confident making decisions in the moment about what matters and what does not.
- Is intellectually curious, naturally interested in the business, the industry and the people you’re working with, and shows it in the quality of your prep and thinking.
- Handles confidential information with instinct and care and can be trusted with sensitive commercial matters without needing to be reminded.
- Has the confidence and presence to hold firm lines with senior stakeholders, including saying no on the CEO’s behalf when the answer is no.
- Notices things, patterns, energy shifts, unspoken tensions, and uses that awareness to make things better.
- Communicates with precision and warmth, in writing and in person, and can flex your style across a range of internal and external stakeholders.
- Is genuinely comfortable with pace, ambiguity and change, and stays calm and clear when things get busy.
