Executive Assistant
£285-£300 per day via Umbrella
London - Bank | 5 days per week in the office
ASAP start | 12-month contract
We are currently recruiting for an Executive Assistant to provide high-quality, proactive administrative and operational support to a fast-paced Commodities business, supporting senior stakeholders across the Metals and Energy desks.
This is a high-pressure front-office environment where priorities can change quickly, so we are looking for someone who is highly organised, resilient, and confident working with senior stakeholders. You will be supporting approximately five senior stakeholders, from Senior Manager through to Director level, and will need to be comfortable dealing with a range of personalities and competing demands.
The Opportunity
This is an excellent opportunity for an experienced EA, PA, Desk Assistant, or Team Assistant who has worked within banking, financial services, professional services, or another similarly fast-paced environment.
A key focus of the role will be embracing technology and finding smarter ways of working. Strong, hands-on experience using AI tools is essential, with experience of Microsoft Copilot, ChatGPT, Claude, Gemini, or similar platforms highly desirable. We are particularly interested in candidates who are actively using AI in their current role and have a genuine curiosity and enthusiasm for how AI can improve administrative efficiency and productivity.
Key Responsibilities
- Provide proactive administrative and operational support to the Commodities team.
- Provide day-to-day EA/PA and desk support to senior stakeholders.
- Manage complex diaries, appointments, and meeting logistics.
- Coordinate internal and external meetings, workshops, training sessions, conference calls, and team events.
- Take accurate and professional meeting minutes and ensure key actions are captured and followed up.
- Maintain and update RAID logs, ensuring risks, actions, issues, and dependencies are clearly recorded and monitored.
- Arrange travel, accommodation, and transport, preparing detailed itineraries where required.
- Process travel, entertainment, and other business expenses accurately and promptly.
- Support purchase order requests, invoice processing, and procurement administration.
- Liaise professionally with internal teams and external contacts on behalf of senior stakeholders.
- Coordinate visitors and support wider office-based team activity.
- Assist with onboarding arrangements for new joiners, including access, equipment, and practical setup.
- Support wider team administration, including couriers, supplies, desk moves, and ad hoc business requirements.
- Use Microsoft 365 and AI-enabled productivity tools to improve efficiency, prepare documents, and streamline administrative processes.
- Identify opportunities to improve processes and encourage the adoption of new technology and more efficient ways of working.

What We're Looking For
Essential:
- Previous experience as an EA, PA, Desk Assistant, Team Assistant, or similar administrative support professional.
- Experience working in a fast-paced, high-pressure environment, ideally within banking, financial services, commodities, or professional services.
- Proven experience supporting senior stakeholders, ideally at Senior Manager, Director, or equivalent level.
- Strong, hands-on experience using AI tools in a professional environment, such as Microsoft Copilot, ChatGPT, Claude, Gemini, or similar.
- A genuine interest in AI and a proactive approach to identifying how technology can improve ways of working.
- Proven meeting minute-taking experience.
- Proven experience maintaining RAID logs.
- Exceptional organisation skills and the ability to manage a high volume of competing priorities.
- Excellent stakeholder management and communication skills.
- A resilient, confident, and thick-skinned approach, with the ability to work effectively with demanding or challenging personalities.
- Excellent attention to detail and the ability to work accurately under pressure.
- Strong Microsoft 365 skills.

Working Environment
The Commodities floor is fast-paced, demanding, and highly collaborative, so this role will suit someone who enjoys working at the heart of a busy front-office operation.
The role is fully office-based, Monday to Friday, 08:30-18:00, and requires someone who is comfortable working in person alongside senior stakeholders and the wider Commodities team.
